Job Description:
We are in search of a Receptionist/Administrative Assistant with a minimum of one year of experience to become an integral part of our team. This role is pivotal in ensuring the seamless operation of our office, acting as the welcoming face for clients while providing crucial administrative support to all departments.
Responsibilities:
- Greet clients and visitors warmly, fostering a positive and professional atmosphere.
- Efficiently handle incoming calls, directing them with precision to the appropriate personnel.
- Manage incoming and outgoing mail promptly, demonstrating a keen eye for detail in organization.
- Schedule appointments and maintain calendars
- Scan and organize client documents to maintain an accurate file management system. During tax season, scanning and intake are main priorities.
- Assist in client intake procedures, ensuring all necessary information is collected and scanned accurately.
- Uphold the professional image of the reception area through a commitment to cleanliness and organization.
- Proactively monitor and order office supplies, showing initiative to maintain a well-equipped and efficient workspace.
- Execute general office tasks with meticulous attention, including filing, data entry, and document preparation, ensuring accuracy and completeness.
- Other duties as assigned.
Qualifications:
- Education:
- Possess high school diploma or its equivalent, representing the foundational educational background required for success in this role.
- Experience:
- Minimum one year experience in a receptionist or administrative capacity.
- Skills:
- Exhibit exceptional communication and interpersonal skills, crucial for creating a welcoming environment for clients and fostering effective internal communication.
- Display proficiency in Microsoft Office Suite, particularly Word, Excel, and Outlook, streamlining administrative processes.
- Leverage strong organizational abilities and an acute attention to detail to handle multifaceted tasks efficiently.
- Adeptness at multitasking, allowing for the prioritization of workloads in a dynamic environment.
- Attributes:

- Technology Proficiency:
- Comfortably navigate office equipment such as phones, computers, copiers, and scanners, ensuring the seamless execution of administrative tasks.
