Switchboard Operator (PT)
REPORTS TO: Medical Records Supervisor

JOB SUMMARY
This is a multitasked clerical position that includes chart prepping, scanning, photo I.D. and quality checks with deficiency processes, switchboard and physician answering service, monitoring alarms, chart retrieval, release of information, and faxing of medical records.
ESSENTIAL FUNCTIONS
- Consistently follow established Departmental, Human Resources and Hospital Policies/Procedures.
- Attend monthly medical record department meetings
- Use computerized punch time system correctly
- Report to work on time and as scheduled
- Complete and pass all department competencies
- Understand and demonstrate competency with equipment, to include information technology, utilizes supplies and equipment appropriately, to minimize waste and to include appropriate utilization of time.
- Demonstrate behaviors which promote professionalism
- Complete birth certificates with the State of Missouri Birth Certificate repository, if applicable.
- Handle subpoenas for court, if applicable
- Maintain and respect patient and employee privacy and confidentiality.
- Prep, scan, form identification, deficiencies and quality check within three hours of chart pick up which is three times per day shift, i.e. 6:00 AM, 12:00 PM and 3:00 PM.
- Complete and pass all department competencies. (scoring as follows)
To receive a 5 -100�curacy
To receive a 4 -90 to99�curacy
To receive a 3 -80 to89�curacy
To receive a 2 -70 to79�curacy
To receive a 1 – Below 70�curacy
- Switchboard coverage and physician answering service, monitoring alarms while on switchboard coverage.
- Follow all Department Policies and Procedures consistently with Release of Information:

- Promote and instill the teamwork concept by assisting co-workers to complete daily processes and customer requests.
- Maintain an effective rapport with all customers
- Appropriately handles telephone and email communications with customers.
- Support the Medical Center’s Mission/Vision/Philosophy positively.
- Maintain regular and predictable attendance.
- Perform other essential duties as assigned.
EDUCATION/EXPERIENCE/SKILL REQUIREMENTS
- High school diploma or equivalent
- Must have knowledge of general office practices and computers.
- Must have skill in telephone communication and ability to communicate with others including the general public and physicians.
- Must be able to understand and follow oral and written instructions.
- Must be able to read and analyze medical record information.
- Must be self-motivated and have the ability to work within the established policies, procedures and practices prescribed by the hospital/clinic.
