Goldberg Segalla, a dynamic and collaborative law firm with a national presence, seeks a highly motivated and organized individual to join its team as a Records Clerk in its Buffalo, NY office. This role is an essential contributor in setting our legal team up for success.
Our Records Clerks are responsible for providing records support to their assigned office with direct contact on a regular basis to the Firm’s Records Supervisor. This position is geared towards individuals who possess strong organizational skills, with the ability to maintain confidentiality and communicate effectively.
Responsibilities::
- Receive and sort incoming mail including legal documents, correspondence, and other relevant materials.
- Scan documents and ensure the quality and accuracy of scanned images, making adjustments as needed
- Accurately identify various document types to manage them in accordance with specific procedural requirements
- Accurately title and file records into the firm’s records repository in accordance with established filing systems.
- Process and save records received via CD, USB, or secured link
- Prioritize and distribute mail to the appropriate recipients within the firm
- Create and prepare trial materials such as exhibit binders
- Box and inventory closed files for offsite storage
- Process outgoing mail requests utilizing various shipping methods
- Post mail using firm’s postage machine and deliver mail to the post office
- Assumes responsibility for maintaining the highest level of confidentiality of all firm records and files
- Assists in all other office duties as assigned
Working Conditions:: Work is generally performed within an office environment with standard office equipment.
Experience/Requirements::
- Regularly required to clearly communicate and exchange information in English
- Regularly required to physically operate routine office equipment such as telephones, computers, etc.
- Regularly required to observe and assess data and documents, in printed form and on computer screens
- May be requested to work beyond normal work hours and weekends for special projects
- Ability to work independently within general guidelines and minimal supervision
- Ability to recognize the need for confidentiality of information and to maintain such confidences
- Ability to respond to internal or external inquiries, including those of a sensitive, confidential, or adversarial nature
- Ability to organize, prioritize, and execute responsibilities in the face of conflicting priorities or unexpected situations
- Ability to effectively communicate, and nurture working relationships with all levels of management and staff
- May be required to move objects up to 50 lbs. from one level to another from time to time
Benefits::
This role offers an hourly salary. The hourly salary range for this position is $17.50 - $19.00. Actual pay may be adjusted based on experience and other job related factors permitted by law. This position also offers a full benefits package.
