  • The Event Coordinator is passionate about events management, providing outstanding customer service, be an enthusiastic professional, be able to build relationships with potential customers and vendors, have experience marketing using social media, web based advertising, and creating printed marketing materials targeted to specific client needs.

    Experienced, take charge professional with the ability to market and manage administration and logistics of unique event venue. Booking and coordination of up to 50 events per year would be required. Must be able to anticipate needs, discern work priorities, and meet deadlines with little supervision, and be willing to work evenings and weekends.

    Responsibilities & Duties

    Venue Marketing and Sales

    • Respond to all wedding and special event inquiries via multiple channels of communication
    • Coordinate with prospective clients and execute venue tours
    • Update website as related to venue rental
    • Negotiate space contracts and book events
    • Develop relationships with vendors
    • Develop and execute multifaceted marketing strategies
    • Advise Museum Director on overall events strategy

    Event Coordination

    • Hire, schedule and keep track of labor hours
    • Schedule and oversee all cleaning of event spaces
    • Attend all events from start to finish and securing premises at the end of the event
    • Coordinate with docents and other volunteers involved in events
    • Comprehension and enforcement of insurance and liquor permitting needed for each event
    • Ability to resolve issues related to cleaning, scheduling, gardening, or other household tasks
    • Create and maintain a calendar of events for venue rental and all space use at PMH
    • Serve as liaison with vendors on event-related matters.
    • Assist with preparing budgets and provide periodic progress reports to Museum Director for each event project.
    • Work with accountant to keep track of event finances including check requests, invoicing, and reporting.
    • Prepare and modify event contracts as requested
    • Quarterly reporting events progress and issues to the board

    Skills and Qualifications

    • High-School Diploma Required; Associates or Bachelors in Hospitality Management or Business Administration preferred
    • Minimum one year of experience with events management, catering or related experience required
    • Excellent communication skills
    • Proven sales and customer service skills
    • Ability to manage multiple projects with little supervision
    • Excellent interpersonal skills both in person, via email and by phone, exhibiting professionalism
    • Effective time management, organization and multitasking skills
    • Team player works well under pressure.
    • Proficient with Google Suite, and social media management systems

    Working Conditions

    While the House does have offices on site, portions of this job be performed from home. The Park-McCullough offices no longer have heat, and therefore, are not available in the winter and cooler months.

    Work from home requires the Coordinator to have an appropriate work space with internet access and ability to conduct work-related calls free from distractions and disruptive noise. The Park-McCullough Association will provide an appropriate workstation and printer/scanner for the sole use in conducting Organization business from home. This equipment will remain the property of the Park-McCullough and the employee is responsible for ensuring proper use, care and maintenance of the equipment.

    Physical Requirements

    • Must be able to remain in a standing position during 80% of events. Some events may last as long as 14 hours.
    • Needs to constantly move about the grounds to coordinate the events.
    • The person in this position frequently communicates with prospective clients, execute venue tours and negotiate space contracts to book events. Must be able to exchange accurate information in these situations.
    • Occasionally moves packages and equipment weighing up to 50 pounds across the property for event needs.
    • Constantly operates a computer, manipulating a keyboard and mouse. and other office productivity machinery.
