JOB SUMMARY |
The Special Events Coordinator is responsible for planning, coordinating and executing fundraising and community engagement events. The Special Events Coordinator works closely with the Resource Development team. |
JOB RESPONSBILITIES |
- Assists in planning and coordinating special events, including fundraising galas, donor appreciation dinners, community outreach events, and volunteer recognition ceremonies

- Researches and secures event venues, negotiates contracts with vendors, and coordinates logistics such as catering, rentals, audiovisual equipment, and transportation
| |
- Assists in developing event marketing materials, including invitations, flyers, social media posts, and press releases. Coordinate with the marketing team to promote events through various channels and engage the community
| |
- Manages attendee registration processes, including ticket sales, RSVPs, and guest lists
| |
- Communicates event details, updates, and reminders to attendees via email, phone calls, and online platforms
| |
- Recruits and coordinates volunteers to assist with event setup, registration, guest assistance, and other event-related tasks
| |
- Provides volunteer orientation and training as needed
| |
- Processes invoices, track payments, and reconcile expenses with finance department.
| |
- Assists with on-site event setup, coordination, and management, ensuring all aspects of the event run smoothly and according to plan
| |
- Collects feedback from attendees, volunteers, and staff to evaluate event success and identify areas for improvement
| |
- Addresses any issues or concerns that arise during events in a timely and professional manner
| |
- Prepares post-event reports summarizing key metrics, outcomes, and analyzes for best practices and CQI
| |
- Provides administrative support to the Director of Special Events and other team members as needed, including scheduling meetings, maintaining event calendars, and organizing event-related documents and materials
| |
- Drives and delivers database and event software-management support for event-related attendees and donors
| |
- Ensures compliance with organizational policies, procedures, and legal requirements related to event planning, fundraising, and donor stewardship
| |
- Encourages BGCAZ “Rules of Engagement” and incorporates into day to day interactions with staff
| |
EDUCATION and/or EXPERIENCE, LICENSURE and CERTIFICATION |
- High school degree or equivalent
|
KNOWLEDGE, ABILITY and SKILLS |
- Ability to organize, meet deadlines in a timely manner and prioritize effectively in a fast paced environment
- Ability to interact effectively and communicate in writing and orally with a variety of youth, staff, volunteers, families, Board members and various community members
- Proficient skills in Microsoft Suite, including Outlook, Word and Excel
- Ability to articulate for giving, serve as an ambassador, engage in relationship building and promote philanthropy

WORKING CONDITIONS and DRIVING |
- Travel between BGCAZ Branches, schools and community sites is required
- Work is performed in our Program Services Center-Administrative offices and within the local community
- Occasional evening and weekend hours are required
