  • The Chariho Regional School District is seeking a full-time Confidential Administrative Assistant to the Special Education Director/Assistant Director (8 hours per day, 5 days per week, 12 months). The Administrative Assistant serves as the confidential assistant to the Special Education office. The Special Education Confidential Administrative Assistant provides comprehensive administrative support to the Special Education Office. This role requires a high level of confidentiality, organizational skills, and the ability to handle sensitive information with discretion. The ideal candidate will be proactive, detail-oriented, and capable of managing multiple tasks in a fast-paced environment. Qualifications: An Associate’s degree is preferred, along with 3-5 years of clerical or office support experience or an equivalent combination of experience and training. Experience or education with a concentration on applying secretarial principles and practices is also preferred. Essential Duties and Responsibilities (other duties may be assigned): Identifies sources of various information and prepares comprehensive reports and abstracts of factual data and documents. Reviews incoming correspondence to be informed of the needs and activities in the office. Compose responses on their own cognition to incoming correspondence to relay complex information. Prepares written directives for the application of policy or procedural processes. Reviews and ensures accuracy of outgoing correspondence, records and/or reports of complex procedural or program activities. Provides assistance and support with Title IX cases that involve students who receive individual education plans and/or special education certified and non-certified staff. Support special education staff, including teachers, aides, BMA’s, clinicians and specialists. Coordinating transportation, accommodations and other services for students with special needs. Enter and manage data in student information systems, ensuring data integrity and confidentiality, which includes handling the inputting of data into the state census. Generate reports and analyze data as needed for the department. Ensure compliance by staff with district policies, state regulations and federal laws regarding special education. Conducts and assists with investigations of staff with regard to compliance matters; prepares reports of same. Assists Title IX Coordinator with coordinating and investigating Title IX complaints against staff and students; prepare reports of same. Assists APRA Coordinator with preparing responses, including identifying confidential nonresponsive documents. Assists Superintendent’s Administrative Assistant and Human Resources Director with the maintenance of employment records. Assist in the preparation of audits, reviews and public record requests by providing necessary documentation and information. Maintain and update student records, ensuring accuracy and compliance with legal and district requirements. Prepares and submits state and federal reports related to special education. Coordinates and prepares for meetings, including notifying participants, preparing documents and taking minutes. Assist in organizing professional development sessions and other departmental events. Monitor and track departmental budgets and expenditures. Assists with the budgeting process. Prepare purchase orders, process invoices and maintain financial records. Assists with the formulation of the Federal Consolidated Resource Plan. Be cognizant of the highly confidential nature of the Special Education Office. Manage and maintain calendars, scheduling meetings, appointments and conferences Prepare, proofread and distribute correspondence, reports and other documents Organize and maintain electronic and paper filing systems for the department. Serves as primary point of contact for the Special Education department, handling phone calls, emails and in-person inquiries with professionalism and confidentiality. Liaison between the office, staff, parents and external agencies to facilitate effective communication. Greets visitors and screens unexpected callers. Opens, organizes and reviews the Director’s daily mail; handling various inquiries/requests when appropriate. Composes correspondence for the Director/Assistant Director signature. Assists the Director in preparation of presentations. Attend all SEAC and negotiation sessions as assigned, ensuring punctuality and preparedness. Accurately record proceedings of the meetings, including discussions, decisions, agreements and action items. Ensure that all relevant details, such as the names of attendees, key points of discussion, motions made and voting outcomes are documented. Prepare comprehensive and precise minutes and agendas in a timely manner, ensuring clarity and accuracy. Distribute the minutes to relevant parties promptly, maintaining confidentiality and compliance with organizational policies. Assist in preparing agendas and supporting documents for negotiation sessions as required. Follow up on action items from minutes to ensure timely completion and accountability. Performs such other duties as required by the Director of Special Education. Skills Required: Proficient in Google Suite (Docs, Forms, Sheets, Mail), Microsoft Office Suite (Word, Excel, Powerpoint) and other office software. Strong organizational skills with the ability to prioritize tasks and manage time effectively. Excellent written and verbal communication skills. Ability to handle sensitive information with the utmost confidentiality. Knowledge of special education terminology and processes is an advantage. High level of integrity and professionalism. Detail-oriented with a strong focus on accuracy. Ability to work independent and as part of a team. Compassionate and understanding of the needs of students with disabilities. Must be able to use various automated office equipment such as computers, copiers, calculators, etc. Must be able to exert a negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects. Ability to sit for extended periods. Regularly required to stand, walk and use hands for typing and handling documents. Occasional travel between school sites may be required. Requires the ability to speak and/or signal people to convey or exchange information. Requires the ability to read a variety of correspondence, reports, handbooks, forms, lists, etc. Must be able to communicate effectively and efficiently in standard English. Ability to read, analyze and interpret general business correspondence and governmental regulations. Ability to write reports, business correspondence and procedure manuals. Ability to effectively present information and respond to questions from groups, staff, parents and the general public. Ability to calculate figures and amounts. Ability to utilize current technology for communication, data analysis and access to research. Ability to define problems, collect data, establish facts and draw valid conclusions. Ability to interpret an extensive variety of technical instructions in mathematical or diagram form and deal with several abstract and concrete variables. Ability to establish and maintain effective working relationships with students, staff and the community. Ability to communication clearly and concisely both in oral and written form. Ability to perform duties with awareness of all district requirements and school committee policies.
