    Under general supervision, performs a variety of clerical support activities for the maintenance of the City's police records system.


    Tasks

    • Retrieve and verify case/incident information in the police records system; research records of arrest, convictions, traffic violations, and traffic accidents for dissemination purposes.
    • Conduct entry of traffic violations and other assigned reports into the police department database.
    • Respond to inquiries from law enforcement agencies and officers, justice courts, citizens, and other agencies; disseminate reports in accordance with state statutes and Sierra Vista Police Department (SVPD) policies.
    • Answer incoming calls on a multi-line phone system; refer calls to appropriate personnel via phone system, email system, or through Spillman Message Center.
    • Direct and assist citizens with a variety of requests, concerns, or questions.
    • Process payment for reports, fingerprint cards, and vehicle impounds using the city cashiering system.
    • Data entry, proofreading, transcription, body camera video redaction, and running queries.
    • Assist co-workers with additional duties as needed or assigned.

    Knowledges, Skills & Other Characteristics

    • Public records statutes and confidentiality requirements of police records and information
    • Authorized persons and extent of authorized information release
    • Policies and procedures of the Police Department

    • Searching for and retrieving data from the records system

    • This position is primarily performed in an indoor/office environment.
    • Spends most time sitting at a work station and completing tasks on a computer.
    • Required to sit at the front desk and interact with citizens on a daily basis while using telephones.
    • Requires some moderate periods of standing while making copies and preparing packets in an indoor workroom.
    • Some lifting of approximately 20 lbs will be required on occasion.
    • On rare occasions, candidates may be required to operate out of a mobile command post for major incidents in which the incident command system has been activated.

    Minimum Qualifications:
    • Education & Experience Requirements:
    • Graduation from high school or GED.
    • Two (2) years general clerical office experience, OR completion of post high school course or program in Office Management or closely related field may substitute for the experience.
    • 35 WPM Typing Certification (5 minute test completed within six months prior to application). Not applicable if applicant is currently in a position that meets or exceeds the typing requirement.
    • Exam passing score 70% Not applicable if applicant in currently in a position that meets or exceed the testing requirement.

    Typing Certifications

    All applicants must submit an original 35 net words per minute typing certification. Certification must not be older than 6 months.     • Candidates must be a minimum of 18 years of age.
    • Candidates must not have been convicted of a felony or any offense that would be a felony if committed in Arizona.
    • Candidates must not have been convicted of a misdemeanor criminal offense involving moral turpitude in Arizona, nor in any state or federal jurisdiction, where the commission of such a criminal offense would be a misdemeanor as defined by the Arizona Revised Statutes.
    • Candidates must not have been dishonorably discharged from the United States Armed Forces.
    • Candidates must not have:
      • used marijuana within the past two (2) years, all forms of marijuana, including THC extracts, cannabis, hashish, marijuana extracts, and marijuana edibles, and all forms of use will be treated the same.
      • sold, produced, cultivated, or transported marijuana for sale.
    • Candidates must not have:
      • used drugs other than marijuana within the past seven (7) years,
      • used such drugs other than for experimentation; the use of drugs is presumed to be greater than experimentation if the use exceeds five (5) times total, or exceeds one (1) time since the age of 21 years,
      • sold, produced, cultivated or transported for sale any such drugs.
    • Candidates must not have a pattern of abuse of prescription drugs.
