Payroll Director directs all aspects of payroll processing operations. Establishes and oversees payroll processes and procedures for routine processing, tax reporting and internal financial requirements. Being a Payroll Director designs short-term and long-term strategies to achieve continuous improvement and efficiencies in payroll processing and delivery operations. Keeps stakeholders informed about the status of payroll laws and regulations and develops implementation plans for required changes to operations. Additionally, Payroll Director requires a bachelor's degree. Typically reports to senior management. The Payroll Director manages a departmental sub-function within a broader departmental function. Creates functional strategies and specific objectives for the sub-function and develops budgets/policies/procedures to support the functional infrastructure. The ideal candidate will play a crucial role in ensuring the seamless transition of new clients from the sales process to payroll processing. This role is essential in helping our clients optimize their payroll processes and ensuring compliance with all relevant regulations.

    Key Responsibilities

    • Client Onboarding: Lead the onboarding process for new clients, including gathering payroll information such as employee census, tax account information, benefits, PTO policies, etc.
    • System Implementation: Customize and configure payroll systems to meet client-specific needs and requirements.
    • Training and Support: Provide training and ongoing support to clients on how to use payroll systems effectively.
    • Data Management: Ensure accurate entry and maintenance of client payroll data, including employee information, tax details, and direct deposit information.
    • Compliance: Stay updated with federal, state, and local payroll regulations and ensure client payroll processes comply with all relevant laws.
    • Problem Resolution: Troubleshoot and resolve any issues or discrepancies that arise during the implementation and post-implementation phases.
    • Documentation: Maintain detailed records of client interactions, system configurations, and any changes made to client payroll systems.
    • Deadline Management: Adhere to daily and weekly non-negotiable deadlines for payroll processing and reporting.
    • Process Improvement: As a small company, there may be times when you will be asked to learn new processes and implement new procedures to enhance operational efficiency.

    Qualifications

    • Education: Bachelor’s degree in Accounting, Finance, Business Administration, or a related field.
    • Experience: Minimum of 2 years of experience in payroll processing or payroll implementation.
    • Industry: PEO/ASO experience a plus
    • Technical Skills: Proficiency with payroll software systems (e.g., ADP, Paychex, Gusto or similar) and strong MS Excel skills.
    • Communication: Excellent verbal and written communication skills, with the ability to explain complex concepts clearly.
    • Attention to Detail: Strong analytical and problem-solving skills with a keen eye for detail.
    • Experience: Previous experience processing payroll or as experience as a payroll consultant.
    • Technical Skills: Familiarity with HRIS systems and other related software.
    • Soft Skills: Strong organizational skills and the ability to manage multiple projects simultaneously.
    • Multi-client account management: experience preferred.

    A Typical Day in This Role

    • Request Payroll Information and Reports: Begin your day by reaching out to clients to request necessary payroll information and reports.
    • Review Reports: Analyze the provided reports, identify which pay codes are being used, and understand the specifics of each code.
    • Identify Benefits: Determine what benefits are offered by the client and how they are represented on an employee's pay stub.
    • Follow-Up on Data Requests: Contact clients to follow up on any outstanding data requests to ensure you have all the information needed for accurate payroll processing.
    • Explain ACH Deadlines and Implementation Timeline: Communicate with clients about ACH deadlines and outline the implementation timeline to ensure they understand the process and schedule.
    • Assist with State Unemployment and Tax Accounts: Provide support to clients in setting up and managing their state unemployment and tax accounts.
    • Client Communication: Engage in regular follow-ups with clients through phone calls, emails, and texts to address any concerns, answer questions, and provide updates.
    • Problem Solving: Throughout the day, troubleshoot any issues that arise and work collaboratively with clients to resolve them promptly.
