Part-Time Office Manager - Aerosol Manufacturing Plant

Position: Part-Time Office Manager

Location: Okeechobee

Reports to: Plant Manager

Work Hours: Monday through Friday, 8:00 AM to 12:30 PM

Pay Rate: $18.00 per hour

Summary:

The Part-Time Office Manager will oversee the administrative operations of the aerosol manufacturing plant on a part-time basis. This role requires excellent organizational skills, attention to detail, and the ability to manage multiple tasks efficiently. The Office Manager will support office activities and ensure smooth operations during the morning hours.

Key Responsibilities:

Administrative Support:

• Manage office supplies inventory and place orders as needed.

• Maintain a clean and organized office environment.

• Handle incoming and outgoing mail and packages.

• Coordinate office maintenance and repair services.

Human Resources:

• Assist with recruitment, onboarding, and training of new employees.

• Maintain employee records and ensure they are up-to-date and accurate.

• Administer employee benefits and handle related inquiries (if applicable).

• Coordinate staff meetings and events.

Financial Management:

• Assist with budget preparation and expense tracking.

• Process invoices, purchase orders, and expense reports.

• Coordinate with accounting to ensure accurate financial reporting.

Communication:

• Serve as the point of contact for internal and external communications.

• Prepare and distribute internal communications, such as memos and newsletters.

• Manage the plant's official email accounts and handle correspondence.

Compliance and Safety:

• Ensure compliance with company policies and procedures.

• Maintain confidentiality of sensitive information.

• Support the implementation of health and safety policies and procedures.

• Assist with regulatory compliance and audits.

Office Coordination:

• Schedule and coordinate meetings, appointments, and travel arrangements.

• Prepare meeting agendas, take minutes, and distribute them.

• Manage calendars for senior staff and coordinate their schedules.

• Oversee the operation of office equipment and systems.

Qualifications:

Education:

High school diploma or equivalent required; Associate's or Bachelor's degree in Business Administration, Management, or related field preferred.

Experience:

Minimum of 2 years of experience in office management or administrative roles, preferably in a manufacturing environment.

Skills:

• Strong organizational and time management skills.

• Excellent written and verbal communication skills.

• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).

• Ability to handle multiple tasks and prioritize effectively.

• Strong problem-solving and decision-making abilities.

Other:

• Knowledge of HR and financial management practices is a plus.

• Familiarity with office equipment and procedures.

• Ability to maintain confidentiality and handle sensitive information.

Working Conditions:

Primarily office-based with occasional visits to the production floor.

Part-time hours: Monday through Friday, 8:00 AM to 12:30 PM.

Physical Requirements:

Ability to sit for extended periods.

Light lifting of office supplies and equipment as needed.

Compensation:

Hourly rate of $18.00.

No benefits provided for this part-time position.

Opportunity to transition to full time at a later date.
