Fleet Administrator, Sr. assists in administrating and coordinating motor vehicle fleet operations. Understands OSHA, DOT, fleet-specific regulations, licensing, registration, and reporting requirements. Being a Fleet Administrator, Sr. prepares and maintains accurate records of vehicles, insurance, and required regulatory filings and reporting. Coordinates repairs and preventative maintenance scheduling that support fleet vehicle availability requirements. Additionally, Fleet Administrator, Sr. may assist with safety training and communication programs. May require an associate degree or equivalent. Typically reports to a supervisor. Job Summary: The Fleet Administrator is responsible for ensuring that the company's operations comply with all Department of Transportation (DOT) and Federal Motor Carrier Safety Administration (FMSCA) regulations and requirements. This role involves managing DOT-related documentation, conducting audits, and providing training and support to ensure the safety and compliance of our fleet and drivers.
Responsibilities:
· Stay informed about changes in DOT and FMCSA regulations and industry best practices and recommend improvements to internal policies and procedures.
· Responsible for ensuring company policy follows all DOT regulatory requirements, including hours of service, vehicle maintenance, and driver qualifications.
· Participate as an active member of the Safety Committee to assist in the development and execution of health and safety policies in accordance with legal guidelines.
· Assist in the response to incidents involving company vehicles or drivers, including accident reporting, investigation, and liaising with regulatory authorities if needed.
· Assist in the development and delivery of training programs for drivers and other staff on DOT or FMCSA related regulations, safety practices and compliance procedures.
· Assist with the update and distribution of Safety Data Sheets, Supervisor Safety Manual, Employee Safety Guide, and Fleet Safety Guide as needed in coordination with the Safety Committee and Human Resources.
· Responsible for all state and federal MVC related transactions and filings including:
o IRP registrations, plate replacements and title transfers
o Insurance card renewal & distribution
o IFTA license and decals
o IFTA quarterly processing – HCSS fueler
o Daily fuel entry & reporting– HCSS fueler
o Fleet milage collection & processing – HCSS telematics.
o Hazmat registrations – fuel trucks
o 901A DEP Self-Generator renewal, decals, and cab cards
o UCR federal unified registration
o Highway heavy use tax -Federal
o SCAC code renewal
o CSA 2010 monthly review
o Roadside inspection, collection, and filing.
o NY HUT decals and mileage reporting
o PT 100 (NY fuel tax reporting)
o MCS 150 updates
· Maintain CDL driver files. Provide notifications for driver physical and driver license renewals.
· New Driver orientation and defensive driver training
· Maintain and file daily truck pre – trip according to Federal Regulations.
· Maintain files, documentation, and insurance coverages for all on road vehicles and heavy equipment in HCSS EQ360.
· Update Wheels website with driver information, fuel cards, truck assignments and registrations. Setup and maintain light vehicles in Timberline software.
· Work with leasing company of light vehicles to administrate paperwork for initial leases and termination of leases including registrations renewals, COI’s, toll violations and other requests.
· Maintain HCSS fueler to track fuel transactions and consumption.
· Maintain waste oil manifests.
· Process HED, LED invoices and credits in HCSS EQ360.
· Interface between heavy equipment shop manager and Cintas to resolve any uniform issues.
Knowledge & Skills
· Minimum of 3 years of experience in a DOT/FMCSA compliance role, preferably in the transportation or construction industry.
· In-depth knowledge of DOT and FMSCA regulations and requirements.
· Strong organizational and time management skills are needed to complete a high volume of varied responsibilities with excellent attention to detail.
· Proficient in all Microsoft Office applications including Outlook, Word, and Excel.
· Ability to adhere to policies, guidelines and rules set forth; promotes the Vollers safety policy.
· Excellent relationship builder; able to demonstrate a high level of tact, discretion, and diplomacy with all internal and external customers. Must also demonstrate the ability to maintain confidential and sensitive information.
