    Work Setting: Hybrid – 3 days in office – 2 days from home (Hybrid schedule offered after onboarding is completed) 

    Compensation: $70,000 to $102,000 bonus

    Education / Certifications:  High school diploma or equivalent GED required.

    Required Experience:

    • 7 years of document control experience
    • Extensive document control experience in an engineering or procurement environment
    • Extensive experience with EDMS (Electronic Document Management Systems)
    • Previous supervisory experience

    Preferred Experience: 

    • Associate degree or higher in Engineering, Drafting, or another technical field is preferred.

    Job Summary

    The position has the overall responsibility for multiple functions within the project execution department.  Principally, the Document Management Supervisor will directly supervise and manage the Document Control, including Vendor Documents and Project Coordinator functions.  The Document Control function is responsible for the coordination of records and information from its creation/receipt through processing, distribution, organization, storage and retrieval, and ultimate disposition. Project Coordinators directly support the project management team ensuring that internal workflows are prioritized and expedited according to the project schedule.  Coordinators also capture and manage project action items as well as other administrative functions such as meeting minutes.  The Document Management Supervisor is also responsible for maintaining all related Corporate/Departmental processes and procedures as well as ensuring the subordinate personnel strictly follow these published standards. 

     Supervisory Responsibilities:

    • Interviews, hires, and develops teammates in the department.
    • Organizes and oversees the schedules and work of the department.
    • Provides constructive and timely performance evaluations.
    • Handles discipline and termination in accordance with company policy.

    Duties/Responsibilities:

    • Lead and direct all Records Management functions for projects including new plant projects and aftermarket projects. 
    • Ensures exceptional Document Control and Project Coordination support to project execution teams. 
    • Ensures all vendor Purchase Orders include Vendor Document Requirements (VDR).  Expedites all vendor documents to ensure they meet project schedule requirements.
    • Facilitates vendor document workflows / review cycles in EDMS.  Transmits markups to vendor updating and resubmission.
    • Provides periodic Records Management support to other corporate functions (Quality, R&D, etc.) as needed.
    • Ensures functions are conducted in accordance with all procedures and process work instructions.  Key areas of focus include records transmittal process, projection of confidential/secret information and records storage and retention.
    • Participates in project schedule meetings.  Understands schedule requirements and important deliverable due dates. 
    • Reviews Contract/Technical specifications for all projects to under all Document Control requirements.
    • Ensure the Records Management team has the necessary access and training for EDMS systems.
    • Participates in client/consortium partner kickoff meetings as well as other coordination meetings related to Document Control. 
    • Develop and maintain effective peer relationships with clients, alliance partners, and contractors as may be requested by the project manager.
    • Communicate frequently with the Project Manager/Project Engineers to ensure sufficient support is provided.
    • During peak periods of project activity, short notice or no-notice overtime may be required to process project documentation to support project schedules and deadlines.

     

    Skills/Abilities: 

    Required:

    • Proficiency with common computer applications (MS Word, MS Excel, MS Outlook, SharePoint, Power BI, Adobe PDF, etc.) as well as other web-based applications for uploading, storing, and transmitting project documents.
    • Excellent interpersonal, oral, and written skills are required.  Will interface frequently with counterparts working for the client, consortium partners, vendors, etc.
    • Ability to prioritize work assignments and ensure all project deadlines are achieved.
