We are currently seeking a proactive and organized Administrative Assistant/Customer Service Representative to join our growing team and help us continue providing exceptional customer service.

Job Summary:

As an Administrative Assistant/CSR at Illiana Heating & Air Conditioning, you will play a crucial role in supporting our daily operations. You will be responsible for answering phones, scheduling appointments, and providing top-notch customer service while maintaining a professional and friendly demeanor. While your work will primarily be as a customer service representative you will also have a variety of administrative duties as part of the team.

• Answer incoming calls, emails, and messages, promptly addressing customer inquiries, complaints, concerns, and service requests respectfully and professionally.
• Includes CSR duties - scheduling appointments and providing support for high priority customers/emergency calls
• Maintain and update accurate customer records, including contact information, and service history in the company's database.
• Provide general administrative support, including filing, data entry, and organizing documents.
• Work closely with the dispatcher, office staff and management team to identify areas for process improvement and implement new administrative procedures as needed.
• Maintain a clean and organized office environment, ensuring a professional and welcoming atmosphere for clients and team members.
• Perform any other related duties as assigned or required by management.
• Hours 8:00am - 5:00 pm

• High school diploma or equivalent; additional qualifications in office administration or a related field are a plus.
• A minimum of 1-2 years of experience in an administrative or customer service role, preferably in the HVAC or a related industry, but not required.
• Excellent verbal and written communication skills, with the ability to effectively interact with customers, technicians, and the rest of the Illiana team.
• Strong decision-making, problem-solving skills, while taking initiative.
• Strong organizational and multitasking skills, with the ability to prioritize tasks and manage time efficiently.
• Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and experience using CRM software or other relevant database systems is helpful.
• Attention to detail, with a focus on maintaining accurate records and providing high-quality customer service.
• Ability to work both independently and as part of a team in a fast-paced, dynamic environment.
• Familiarity with HVAC industry terminology and practices is a plus but not required.
• Familiarity with ServiceTitan software and working knowledge is a plus but not required.
