The Director of CRM Systems provides overall vision, system administration and support for the CRM system on campus. In this role, the position is responsible for the operational management of Technolutions – currently in the departments of: Admissions, Advancement, Athletics and HR. Position to provide consultative services for development and implementation into new use cases for additional offices across campus. It is expected this position to make the CRM as efficient as possible for the life cycle of constituent records, staff needs and keeping data integrity and security at the front of all conversations. In addition this position will support the reporting and analytics needs of the university. This position would also provide support to other enterprise systems on campus as needed.
Job Responsibilities
· Provide system administration and support primarily to CRM systems
· Suggest appropriate uses of the CRM to relevant offices across campus.
· Build processes utilizing the Slate CRM to streamline efficiency
· Provide a communication link between offices on impact of possible changes when building new features which impact the life cycle of constituent records.
· Oversees setup of new user accounts on the systems with appropriate access levels.
· Perform regular maintenance to increase the efficiency of the system and maintain the integrity of data.
· Document all necessary items for use of newly developed features for training and historical purposes
· Ensures that both user and system documentation are kept up to date
· Provides data extracts to third party vendors for integration with various university systems.
· Imports information from third party vendors into university system as needed
· Regularly collaborate with departments across the campus
· Assign timeline to projects and clearly communicate with all impacted offices and staff throughout the progression of the project.
· Provide basic system training to users and assist them on the use of system documentation, manuals, etc. for further learning. In addition, as new processes/features are developed create training manuals and provide user training.
· Use ITS service desk request system to manage and track user issues.
· Work with the campus and Slate communities to foster new use cases for the Slate CRM.
· Knowledge and understanding of single sign-on technologies would be preferred.
· Develop, modify, maintain and support custom reports for both ad-hoc and ongoing needs to fulfill university, state and federal mandates.
· Analyze and review information to identify and interpret any patterns or useful trends in complex data sets.
· Work closely with management to prioritize business needs using data and stay up to date with the goals of the University as they evolve.
· Work closely with other IT staff and Assistant Director of CRM Systems
· Director of CRM Systems and Assistant Director of CRM Systems should take every effort to make sure they are true back up of each other.
· Take responsibility for keeping skills current on the systems by either self-study or by taking appropriate off-site or online training classes
· Required to provide off-hours support for critical system issues or upgrades if needed
· Assist with other enterprise systems on campus as needed.
· Performs other duties as assigned.
