    Job Description

    The City of Saratoga Springs is currently hiring a part-time, non-exempt Court Clerk working under the direct supervision of the Lead Clerk and also the Justice Court Judge while court is in session and to manage caseload.

    The Court Clerk performs a variety of routine to complex duties as needed to maintain comprehensive records, reports, accounts or files and expedite the functions, actions, judgments, processes and procedures related to activities for the Justice court.


    Job Responsibilities

    ESSENTIAL FUNCTIONS:
  • Responsible for the efficient operation of the court and coordinates all court activities with Judge(s)

  • Gather and maintain case documents to ensure permanent recordkeeping; prepares accounting reports and balances trust accounts

  • Use various types of electronic devices, word processing, and information processing technology programs to obtain, originate, verify or modify information in areas such as case management, document review, maintenance of court and administrative records

  • Answer questions regarding cases from the public via telephone or in person and deals with the public on a daily basis

  • Receive filing fees accounts for and transmits fees; issues summons, writs of garnishments; dockets returns on writs; verifies witness fees; maintains court's docket and the judicial calendar

  • Prepare court documents including orders, warrants, summonses, notices and other court forms to be submitted to the Judge for signature

  • Interpret orders, decisions, judgments, pleadings and motions to determine the directives of judge(s), the relief sought by attorneys and parties to the case

  • Schedule hearings for motions, reviews/orders to show cause, pre-trials and trials; types docket entries, letters, forms, opinions, executions, and judgments; types, transcribes compiles and files minutes and other court related documents; prepares statistical reports and summaries of court activities and submits to appropriate agencies

  • Assist attorneys and parties to the case with calendaring by accepting notices of appearance, motions, other court documents and having all parties ready for upcoming hearings

  • Prepare court calendars, calls cases when court is in session, record court proceedings, and maintain a status file on each active case; dockets and files papers on the above; maintain custody of exhibits; cross-indexes as required, and completes tracking of all cases

  • Communicate with outside agencies including police, probation, defense attorneys, counseling agencies, the Bureau of Criminal Investigation, the Utah County Sheriff’s Office, the Utah Highway Patrol, Utah Department of Corrections, the Administrative Office of the Courts of Utah and any necessary judicial agencies in order to coordinate the court’s activities with said agencies

  • Contact attorneys, jury members and other interested parties concerning hearings, trials, court orders, etc.; processes criminal complaints, and warrants of arrest; responds to telephone callers seeking information related to jury duties

  • Receive fines, forfeitures and fees on traffic and city code citations; keeps daily dockets on monies received and makes up deposit to the City Treasurer; makes monthly reports on all monies received.

  • Opens and/or closes the court.

  • Maintains jury lists, questionnaires, and summons; prepares jury instructions, payments, and assists with all other aspects of juries.

  • Other duties as assigned


Qualifications

Education & Experience:
  • A high school diploma or GED equivalent; and

  • Two (2) years’ clerical experience, preferably in the Court System; OR an equivalent combination of education/experience.


  • Certifications:
  • Must possess and maintain valid Utah driver’s license

  • Annual attendance of AOC Conference

  • Knowledge, Skills and Abilities

  • Basic accounting and cash handling.

  • Legal terminology, statutes, and rules

  • Court policies and procedures including jurisdiction, venue, service of papers, motions subpoenas, calendar practice, trial procedures, handling evidence, judgments, warrants, and pleas

  • Utilize Microsoft Office programs, Caselle accounting software, CORIS & UCJIS justice court software programs

  • Deal regularly with sensitive or confidential information and therefore exercise considerable skill in information handling and privacy of records

  • Perform all cash handling procedures as outlined in the Cash Handling Procedures Manual

  • Understand and interpret with great attention to detail, written material including laws, rules, regulations, and apply this material in the review of court forms and documents

  • Communicate effectively both verbally and in writing

  • Deal with the Public in a professional and friendly manner both in person and on the phone

  • Work is typically performed while sitting at a desk or table; regularly walk, stand, or stoop

  • Exposure to high-stress situations, including contact with the public in highly confrontational, emotionally charges, or uncomfortable circumstances.

  • Be responsible and accountable to accomplish assigned tasks and duties in a courteous and professional manner.

    Salary Range:
    The full salary range is as follows, please note hiring will normally occur at the Minimum of the range and will not exceed the Midpoint of the range:
    Minimum - $16.70
    Midpoint - $20.46
    Maximum - $24.22
