    Position Summary:

    The Contracts Administrator, as a member of the Legal team, is responsible for increasing the efficiency and effectiveness of the contracting process at ZOLL Cardiac Management Solutions. Key functions include processing and reviewing contract requests; routing templates and supporting documentations to the appropriate negotiating team; ensuring compliance with internal control and risk review obligations; obtaining required approvals and signatures on final contracts; ensuring financial requisitions process completed in parallel with contract formation; entry of all executed contracts and associated communications, amendments, and exhibits into contract management database; preparation of ad hoc and recurring reports on key metrics (including renewal dates) from the contract database; ensuring the continuous improvement of all contract templates, playbooks, and checklists; and providing training regarding the contracting process.

    Essential Duties and Responsibilities:

    • Review and revise draft contractual agreements and additional documentation against internal guidelines and compliance policies as ZOLL’s first point of contact.

    • Assure accuracy and appropriateness of contract documentation and attachments; set-up new contracts; terminate expired contracts; and general maintenance of active contracts.

    • Interface with Legal and contract owners to verify contracts are appropriately managed and tracked within the contract management application. Keep updated reports of the progress of each contract submission.

    • Ensure ZOLL is in compliance with all contractual requirements and communicate any changes to contract/participation status as necessary. Resolve issues and answer questions.

    • Coordinate the development and maintenance of contract management policies and procedures with all stakeholders. Ensure all process documentation is kept current.

    • Assist with or lead on-going training related to the contract policies and procedures

    Educations and/or Experience:

    • Bachelor’s degree with 3-5 years’ experience, or equivalent education and relevant working experience.

    • Experience in creating and applying organizational legal, financial, and control standards when reviewing contracts. Experience managing a database and/or review and revision of contracts to meet institutional requirements.

    • Ability to work in a complex environment where alignment with various stakeholders may be required, however independently address and solve issues within the scope of the position.

    • Excellent customer relationship skills. Able to build and maintain relationships across multiple internal organizations.

    • Strong communication and interpersonal skills with the ability to effectively listen and communicate complex information in a clear and concise manner.

    • Experience with Microsoft tools such as SharePoint, Excel and Power Point. Database Experience 3 years preferred.

    • Strong administration skills with respect to contracts and contract management. Strong organizational and time management skills. Ability to manage multiple priorities simultaneously.

    Language Skills

    Ability to read and comprehend contracts, legal documents, instructions, correspondence, and memos. Ability to write correspondence, memos. Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization.

    Mathematical Skills

    Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.

    Reasoning Ability

    Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.
