Assistant Bookstore Director manages one or several activities related to the operation of a university/college bookstore. Purchases new books, coordinates the sale of used books, orders new inventory as needed. Being an Assistant Bookstore Director ensures that the textbook inventory is aligned with the needs and class schedule of the students. Typically requires a bachelor's degree. Additionally, Assistant Bookstore Director typically reports to a bookstore director. The Assistant Bookstore Director supervises a group of primarily para-professional level staffs. May also be a level above a supervisor within high volume administrative/ production environments. Makes day-to-day decisions within or for a group/small department. Has some authority for personnel actions. To be an Assistant Bookstore Director typically requires 3-5 years experience in the related area as an individual contributor.     Academy Assistant Director

    Job Summary

    Assists and supports the Director in all aspects of management of the academy, to include human

    resources, marketing, customer relations, financial systems, quality control and physical facility.

    ● Hired by the respective Kiddie Academy, paid by Three Colors Flag (reimbursed by Kiddie Academy) and works full time directly in the school unit.

    ● Attends general meetings at the main office once a month.
    ● Assists in the management of the academy to ensure effective and cost-conscious operation.

    ● Assumes full responsibility for academy management in director’s absence

    ● Performs all duties assigned of teacher during portion of day assigned to classroom

    ● Accepts temporary work assignments in the event regularly scheduled personnel are not available

    ● Responsible for completing at least 12 clock hours (or more based on local regulations) of approved continued training during the licensing year.

    ● CDA and Director’s Credential

    ● Fluent in English (Writing and Speaking)

    Regulations:

    ● Assists in completing and submitting required paperwork and record keeping on a timely basis, and maintaining in an organized, up-to-date manner.

    ● Helps ensure that quality control of programs is sound and meets state and Kiddie Academy® requirements. Provides feedback to the director on quality control issues and assists in resolving quality control issues.

    ● Responsible for the full compliance of teacher-student ratios in each class.
    ● Create food menu, place food order, control, purchase disposable items. Post weekly menus for the following week
    ● Ensure lesson plans are posted weekly

    Responsible for the school unit

    ● Supervision of General Maintenance (curb appeal, alarms, regular maintenance reports)

    ● Compliance with DCF Regulations; Early Learning Coalition Regulations; Kiddie Academy Standards and NAEYC Standards

    Promotes ongoing supervision on the following:

    ● Performs Vehicle Checklist

    ● Kitchen Inspection

    ● Building and Common Areas Inspection

    Responsible for understanding the emergency plan in eventual crises

    ● Ensure all emergency gates / fencing / mains doors are safe / First Aid Kits are complete

    Staffing

    ● Takes an active role in planning and participating in academy activities (staff meetings, training sessions, open houses).

    ● Assists in daily supervision of staff; keeps director apprised of staff concerns and situations needing attention; provides performance appraisal input to director.

    ● Assists with staff scheduling, recruitment efforts, interviews, and the hiring process.

    ● Develops and maintains professional working relationships with staff by being helpful, accountable, reliable and motivational by promoting regular staff meetings and team meetings.

    ● Ensure new teachers or former teachers are included or excluded from Tadpoles and Procare

    CRM – Customer Relationship Management

    ● Responsible for enrollments - Primary goal is focused on new enrollment, follow-up with inquiries

    and academy tours in order to increase enrollment.

    ● Develops a strong working knowledge of Kiddie Academy® Philosophy, Mission, Core Values, and programs in order to communicate the same to current clients, prospective customers or other community entities.

    ● Responsible for building positive relationships with families, and address concerns and/or complaints in a professional manner and sustain ongoing communication.

    ● Assists in recognizing parental concerns, evaluation of the course of action and responding professionally to parents’ needs.

    ● Answers and return phone calls, reply emails promptly

    ● Responsible for Tours, CRM management on KARES and follow up with customers - have tours scheduled and folders prepared. Creates a personal and inviting tour for each family.

    ● Builds a positive relationship with students (knowing them by their name!)

    ● Periodically visits local businesses to establish partnerships and develop common strategies.
    ● Reception / Lobby area is free of clutter. Boxes delivered are promptly put away leaving the reception with a clear and clean look always.
    ● Through the day, assistant director and director clean the main doors and vestibule computer removing finger marks on the glass
    ● The Assistant Director is always welcoming by greeting and acknowledging each family or employee that enters or exits the building. It is always willing to assist parents and employees with information or helping open the door, carrying materials in etc.

    JOB DESCRIPTION

    Academy Assistant Director

    ● Lobby/Reception drawers and cabinets are always organizing allowing any administrative personnel to find supplies and documents easily

    Administrative / Accounting / Finances

    ● Develops a strong working knowledge of the academy budget and assists the director in managing all resources effectively and within budgetary constraints.

    ● Assists in tracking all monetary transactions with customers and vendors.

    ● Manages tuition / billing cycles / outstanding balances on Procare o Post weekly fees on Fridays by 12pm o Charge credit card/ACH Fridays by 1pm o Post late fee charges Mondays at 10am

    ● Discuss with the director outstanding balances for solutions and negotiate with families.

    ● Ensure all processes for Accounts Receivable are followed accordingly (Friendly Reminder, First

    Collection Notice, Discontinuation of Services.

    Dress Code

    Assistant Directors follows Employee Dress Code to ensure is a reference on other’s employees dress code.

    The assistant Director must be always dressed professionally by wearing the following:

    Monday - Thursday: Kiddie Academy Shirt preferable ¾ button down shirt, beige or black dress pants, enclosed shoes. Friday: Kiddie Academy button down shirt, jean (no ripped or torn jeans), enclosed shoes.

    Technological Skills: Microsoft Office (Word, Excel, Power Point), Internet, Adobe Acrobat, School’s

    Software, Tadpoles, WatchMeGrow.

    ProCare

    ● Oversee families accounts, balances, credits, charges, and be up to date with enrollment number

    ● Manage Waiting list

    ● Manage Prospective students start dates

    ● Manage students schedule upon enrollment

    Tadpoles

    ● Synchronizing with ProCare every time there is a change on the system

    ● Input or Remove teachers profile

    ● Ensure all students and teachers have a picture on their profile

    Job Type: Full-time

    Pay: $47,000.00 - $50,000.00 per year
