Summary of Essential Duties

The Accounts Administrator is responsible for efficiently and accurately processing new account applications, transfers, and service requests for new and existing clients. This position will serve as a guide for the clients from the time they say they want to do business with our firm to the time they are fully onboarded. Therefore, it is very important this position makes this process as smooth as possible for the client and monitors the progress closely. This role will follow processes and systems already in place for successful operations and coordinate with other departments of the firm for expedient and accurate results for our clients.

Outcome

A successful Operations / Account Administrator will:

• Work to support smooth day-to-day operations and increase operational efficiency of the firm, taking delegation and direction from the lead advisor and other senior firm leadership
• Produce high client satisfaction rates through excellent customer service, prompt follow-up to client issues and proactive problem solving

Description of Duties:

General Administrative

• Assist with coordination and implementation of firm projects to ensure timely completion
• Provide daily updates to advisors for client meetings regarding relevant new paperwork and data
• Complete back-up duties as needed for other Operations team members who are absent
• Provide backup phone and office support

Client Service

• Act as a primary point of contact to resolve basic customer issues and troubleshoot issues with transfers and client transactions
• Prepare paperwork and documents, including new account service requests, transfer paperwork, or insurance service requests
• Process client account transactions according to instruction
• Prepare error reports and communications, working with advisors to resolve all issues
• Prepare and process new accounts and transfer paperwork
• Process all change of address or change of beneficiary forms
• Process RMC (Required Minimum Distribution) requests
• Process deposits, withdrawals, wire instructions and ACH debit / credit, according to instruction
• Process death claims as appropriate
• Prepare bank draft changes for insurance and investment accounts
• Prepare quarterly company compliance reviews for 401(k) plans

Operations

• Provide consistent updates and communications on all transactions to advisors and clients
• Oversee CRM data entry to monitor updates, ensure that all data is being entered by team members correctly
• Assist in the design and implementation of operations procedures, standards of practice and work flow adjustments
• Help maintain up-to-date workflows and processes for operational duties

Knowledge, Skills & Attributes

• High School Diploma required; Associates degree preferred
• Minimum 1 year related industry experience
• Intermediate to advanced computer skills, including knowledge of the Microsoft Office Suite, Google Suite, and internet search and research capabilities, with the ability to improve these skills with time and training
• Ability to learn new technology software and programs quickly with appropriate training and resources
• Intermediate to advanced arithmetic skills to be able to support business financial and client data analysis projects
• Strong problem resolution skills with the ability to be detail-oriented and accurate
• Self-motivated with the ability to handle a heavy workload and work both independently and under direction
• Exceptional oral, written and interpersonal communication skills
• Uncompromised ability to maintain confidentiality and integrity
• Positive attitude and energetic willingness to learn and cooperate

Compensation

This position is compensated with an hourly wage starting around $21/hour DOE.
