Program Director

  • The Program Director is a salaried, Full-Time employee who reports directly to the Executive Director of the Wenatchee Valley Senior Activity Center (WVSAC). It is the job of the Program Director to support the mission and policies of the WVSAC by interacting with the Executive Director and members to help create a positive atmosphere in which to conduct programs for seniors.


    As with all WVSAC employees, it is expected that the Program Director will support other members of the WVSAC staff team and be willing to step in and assist whenever and/or wherever the ‘team’ may require assistance.


    The Program Director serves as the main contact person in the scheduling of all social, educational, recreational and travel programs. Additional duties will include recruitment and coordination of volunteers who assist with many activities and events. As the lead staff for development of activities and programs, the Program Director will have oversight and guide the work of part-time administrative assistants who will assist with these duties. It is essential that each program be evaluated on a regular basis to ensure each activity remains of interest to our members and continues to be financially viable. The Executive Director will have final approval of all newly developed programs and activities before implementing such programs.


    The Program Director is expected to work closely with the Administrative Assistants and all other staff and be responsible for, or oversee, the ongoing and daily implementation of:


    MEMBERSHIP:


    • Maintaining the membership database and handling monthly dues renewals.


    ROOM RENTALS:


    • Manage all room rental procedures, including creating contracts, securing needed hosts or key carriers to provide access and monitor each event, and communication with contacted customers concerning any phase of rental.


    • Maintain the master calendar for room rentals and program activities with dates, times, contact numbers, and meeting room locations; ensuring minimal scheduling conflicts and working with clubs or volunteers when necessary to move or reschedule activities.


    TRAVEL PROGRAM:


    • Develop new and existing excursions for senior center members in collaboration with the Executive Director and with travel agencies, when appropriate.


    • Plan, negotiate pricing, coordinate charter bus scheduling, line up hosts and implement any specific needs to organize interesting and viable day trips and overnight excursions for members.


    • Assign tasks to administrative assistants. Meet travel budget expectations in projected income and expenses and report results to the Executive Director.


    VOLUNTEERS:


    • Help recruit, train, and place volunteers where needed to assist with events, activities, programs and other tasks.


    • Maintain complete files of applications, job descriptions, signed agreements, handbooks, and any other documentation pertaining to volunteers.


    • Assign duties to administrative assistants to assist with these requirements.


    • Maintain regular, ongoing communication with Executive Director regarding new volunteers and placements.


    NEWSLETTER:


    • Under the guidance and oversight of the Executive Director, oversee the publication of the monthly newsletter, including page layout and updating copy, advertising, and other program information for each issue.


    • Work closely with administrative team to ensure all information is complete and arranged in attractive graphic format.


    • Supply draft copy before print deadline to the Executive Director for proofing and final approval.


    • Oversee updates to the WVSAC website to maintain consistency and accuracy with information in the newsletter.


    • Oversee creation and distribution of email to members and other constituents with online version of information from the newsletter.

       

    FUNDRAISING:


    • Create and collaborate with the Executive Director and Communications & Development Director to execute innovative and viable fundraising projects to help meet budgetary goals.


    • Schedule days and times of events. Work with Kitchen Manager to order food, supplies, linens, decorations, etc. and work with administrative team to schedule volunteers and organize the event.


    MARKETING:


    • Collaborate with the Communications & Development Director and administrative team to design promotional marketing materials for activities, events and travel, including flyers, brochures, website updates, emails and/or social media posts.


    OTHER DUTIES:


    • Attend meetings of the Board or in the community as requested by the Executive Director.


    • Become familiar with the Senior Nutrition Program and serve as a backup to the lunch check-in volunteers.


    • Serve as a backup to the Accounting Administrative Assistant as requested by the Executive Director, which may include preparing the bank deposits, running reports, or handling petty cash.


    • Be available to work at all special events, fundraisers or other functions after regular business hours, including evenings and weekends.


    • Other duties as assigned.


    PHYSICAL REQUIREMENTS:

     

    • Able to stand for up to two hours
    • Able to lift up to 50 pounds
    • Able to sit and work at a computer for extended periods


    PROFESSIONAL SKILLS:


    • Proficiency with Office 365 applications
    • Basic knowledge of graphic design software such as Microsoft Publisher or Canva
    • Previous experience with office phone systems
    • Previous experience with membership management systems and accounting software a plus
    • Previous experience in travel industry a plus
    • Spanish/English bilingual a plus

     

    COMPENSATION:


    • Salary: $55,000 - $62,000 per year, DOE.
    • Benefits: medical and dental insurance; 401K with up to 3% employer matching contribution.
    • Vacation: Two weeks paid vacation per year, plus national holidays.


    TRAVEL OPPORTUNITIES:


    • As an added benefit, the Program Director may also qualify for fully-compensated travel as a chaperone on Travel Program excursions. These are working trips: chaperoning does not count as part of paid vacation time.
