Mountain Alarm Fire and Security is currently hiring an office administrator in our Reno, Nevada branch.

Position Summary:

Provides both administrative and customer service support for the branch. Is responsible for processing and entering new contracts. Will be expected to be available for inbound and outbound calls from 8:00am - 4:30pm, Monday-Friday.

Duties & Responsibilities:

• Professionally administers all incoming calls (primary reception), redirects accordingly (i.e. leads to sales, service complaints to a manager, etc.), and transfers to voicemail if unavailable.
• Handles inbound billing questions and is able to pass the call to the appropriate person if unable to resolve.
• Process incoming check payments, including making appropriate notes and updating corporate accounting staff.
• Entering and processing of new contracts into accounting software; setting up job, create the new customer, or updating account.
• Process credit applications.
• Process requests for certificates of insurance.
• Update and maintain "Jobs in Progress" notes on a weekly basis.
• Professionally requests payment status for all over-30-day invoices.
• Perform billing duties as needed.
• Complete conditional and unconditional waivers as needed.
• Generate monthly billing worksheets.
• Greets all guests and employees in a professional, friendly, and hospitable manner.
• Generates appropriate correspondence (i.e. new customer packets, contract renewals, warranty letters, O & M manuals, bill re-prints, etc.)
• Enters contract and permit information into appropriate programs.
• Uses administrative skills to perform tasks in company software including SedonaOffice, Stages, Office365, Outlook, OneNote, and other various Microsoft Office products.
• Performs other duties as assigned.

Education & Required Skills:

• High School Diploma or GED equivalent
• Prior contract administration experience preferred
• Excellent customer service and phone etiquette
• Must read and speak English
• Ability to work a full-time, 8:00am-4:30pm, M-F schedule
• Ambitious, results-oriented individual
• Ability to quickly and accurately prioritize daily tasks and projects
• Aptitude for mathematics and problem solving.
• Strong computer, software, and phone skills
• Clear communication skills (email, phone, in-person) primarily among internal departments, field technicians, sales, and customers.
• Ability to maintain and project a positive outlook to customers at all times.
• Maintains a good working environment with all employees, vendors, and customers.
