Credit Union of Atlanta is seeking an experienced professional to serve as its Executive Assistant to the Board of Directors and the President/CEO.

One of the oldest credit unions in the country, Credit Union of Atlanta was chartered in 1928 to serve the employees of the City of Atlanta. In addition, CUA now serves employees of Fulton County, Atlanta Public Schools, and several other select employer groups, and the community at large through our connection with the Getting Ahead Association. A member of Inclusiv (formerly the National Federation of Community Development Credit Unions) and certified as a Community Development Financial Institution (CDFI) and a Minority Depository Institution by the National Credit Union Administration, the credit union is poised to branch out into the larger community it serves to provide the products and services its members need to help reach their financial goals. With over $66 million in assets, the credit union has two locations in the downtown Atlanta area.
Credit Union of Atlanta is situated in the heart of the Pittsburgh, West End, Ashview Heights, Castleberry Hill, Mechanicsville, Adair Park and Governmental District sections of Atlanta, and is positioned to become a key provider of financial services to this growing hub of residential and commercial life and the surrounding communities.
Essential Functions and Responsibilities
Reporting directly to the President/CEO, the following are the specific responsibilities of the Executive Assistant:
- Processes daily correspondence, distributes mail, and prepares reports for Board and Senior Management.
- Conducts research and prepares statistical and financial reports to assist President/CEO in the development of a variety of plans, documents, or reports.
- Screens visitors and schedules and/or arranges appointments and meetings for Senior Management.
- Handles phone calls from Board members and calls coming in for Board members.
- Responsible for scheduling the use of the credit union facilities for meetings, vendor presentations, examiners and auditors.
- Assists President/CEO with HR function, including job postings, new employee onboarding (including background and Bondability checks) payroll setup, and benefits sign-up and administration.
- Collects all new employee paperwork and submits for processing.
- Orders name badges, access cards, business cards, and Credit Union apparel for staff and volunteers.
- Coordinates with all affected departments for the preparation for and arrival of new employees.
- Schedules new hire orientation for new employees.
- Obtains Exit Interview information from terminating employees and performs follow up relating to benefits cancellation.
- Files confidential information in personnel files.
- Types letters, emails and memos.
- Maintains and updates CUA’s policy manual and ensures all policies are submitted to the Board annually for review.
- Attends and takes minutes for all Board and Committee meetings and distributes drafts of the minutes to the staff liaison for review.
- Prepares Board and Committee meeting agendas and emails notices of meetings a week prior to the meeting.
- Collects reports and prepares the Board packet for distribution prior to the Board meeting.
- Handles logistics for Board, Committee and Staff meetings and for staff on special occasions.
- Responsible for coordinating and planning Annual Meeting, Strategic Visionary Planning Conference, and other meetings or events.
- Performs specialized or confidential administrative duties, including researching data and preparing reports as needed.
- Coordinates the annual Board election process, including distribution of membership packets to new Board members, including CUA By-laws, policies, duties and responsibilities.
- Works with and between the President/CEO and the credit union’s marketing vendors to prepare promotions, campaigns, communications and events.
- Vendor management responsibilities for assigned vendors.
- Maintains access to extra key box and assigns and accounts for issued and outstanding keys.
- Orders postage, office and other supplies for the credit union.
- Disseminates informational mailings and articles.
- Keeps President/CEO advised of complaints and other operational situations.
- Answers and screens telephone calls for and coordinates responses with the President/CEO.
- Logs and delivers all Levies, Garnishments, Certified/Registered Mail, Fed-EX, etc.
- Serves as the custodian for all the credit union’s official records, organizing and maintaining them in appropriate format (electronic or hard copy) and securing them from unauthorized access.
- Registers and coordinates all staff and Board training and travel.
- Collects receipts from all travel and expenses and reconciles with corporate credit card accounts.
- Processes cash receipts and travel advances as necessary.
- Maintains Staff training log.
- Processes vendor checks between the President/CEO and accounting.
- Other assignments and/or duties as assigned.
Requirements
Education and Experience:
- Associate's degree in Business Administration, Public Administration or related field, required.
- Three years of administrative or related experience; or any equivalent combination of education, training and experience which provides the requisite knowledge, skills and abilities for this job, required.
- Supervisory experience preferred.
Knowledge and Skills:
- Good interpersonal skills
- Typing 60 wpm (will be tested if selected for in-person interview)
- Organization and problem-solving skills
- Excellent verbal and written communications skills are required (will be tested if selected for in-person interview)
- Time management skills; and the ability to meet deadlines
- Management and security of confidential information
- Advanced computer skills (Word, Excel, PowerPoint, Access, Adobe)
