Establishes the infrastructure and capacity to provide internal services to the organization. Being a Top Administrative Executive oversees multiple functions that typically include administrative/office, financial operations, facility maintenance/space planning, security, hospitality services, equipment and supply procurement, vendor management, and others. Develops the capital and operating budgets for each function.     Responsibilities:

    -Provide high-level administrative support to team lead and support staff.

    -Manage calendars, schedule appointments, and coordinate meetings.

    -Prepare and proofread documents, reports, and presentations.

    -Utilize DocuSign or similar software to assist with document signing and management.

    - Outgoing Calls and emails incoming leads to uncover their real estate needs and schedule consultations.

    -Maintain and organize files, both physical and digital.

    -Assist with travel arrangements and expense reporting.

    - Taking charge of the daily business operations and needs.

    - Manage client database: adding and sorting new and old contacts and creating / sending regular correspondence or marketing newsletters for client retention purposes.

    - Create and publish marketing ads for brand recognition and lead generation on online platforms, including but not limited to Google Ads, Instagram and Facebook.

    - Design and order marketing mailers

    - Manage the business's social media accounts

    - Assist with organizing and tracking investment expenses, profits and operation costs.

    - Create a professional and regular dialogue with past and present clients

    - Order property inspections for properties in escrow.

    - Answer phone calls, take messages, and direct inquiries to the appropriate person or department.

    Skills:

    - Proficient in using Google Suite (Docs, Sheets, Slides) for document creation and collaboration.

    - Strong attention to detail and excellent proofreading skills.

    - Familiarity with office equipment such as printers, scanners, and copiers.

    - Ability to handle confidential information with discretion.

    - Excellent organizational and time management skills.

    - Strong written and verbal communication skills.

    - Proficient in using Google Calendar or similar tools for scheduling and coordination.

    - Advanced knowledge in social media, marketing and ads and driving traffic to the company pages.

    - Easily adaptable to change; the real estate market and social trends change regularly as might the business and job duties.

    ***Real Estate license is preferred but not required for hire. License can be acquired after hire.

    This position requires a professional and reliable individual who can effectively support the team in a fast-paced office environment. The successful candidate will have strong administrative skills, exceptional attention to detail, and the ability to prioritize tasks.     • Real Estate License (Preferred)

    Ability to Relocate:

    • Yuba City, CA: Relocate before starting work (Required)

    Willingness to travel:
