The Executive Assistant serves as the primary receptionist, provides administrative support to the President and Vice President, and assists with client communications and scheduling for all locations.

Duties and Responsibilities:

• Coordinates office activities and functions to maintain efficiency and compliance with company policies
• Provides primary receptionist and telephone duties and is the initial contact person for the front door - overseeing telephone services, email correspondence, and maintains calendars for client scheduling (scheduling and confirming appointments).
• Assists clerical and support staff with their assigned duties, particularly when more advanced, skilled, or sensitive work is required.
• Maintains office supplies inventory for all offices
• Maintains physical and electronic records, documentation, and files
• Composes and/or types correspondence, reports, and related materials
• Serves as primary liaison between Elite and vendors such as IT troubleshooting and printing
• Assures the appearance of the office is neat and professional
• Gain cross training and proficiency in other duties to assist staff with clients
• Performs other related duties as assigned

Skills and Abilities:

• Excellent time management skills with a proven ability to meet deadlines.
• Ability to function well in a high-paced and at times stressful environment.
• Basic understanding of how to operate standard business equipment.

• Familiarity with basic accounting principles and bookkeeping experience strongly preferred
• Proficient with Microsoft Office Suite or related software

Education and Experience

• Proven experience as an executive assistant, office administrator, office assistant or relevant role
• High school diploma or equivalent required; Associates degree in office administration or related field preferred.
• At least three years of administrative and clerical experience required.

Physical Requirements:

• Prolonged periods sitting at a desk and working on a computer.
• Must be able to lift up to 15 pounds at times.

Job Type: Full-time

Pay: $18.00 - $22.00 per hour

• Administrative experience: 3 years (Preferred)
