HOURLY PAY RATE: $19.18 PAY GRADE: 104 DEPARTMENT - SUPPORT SERVICES - RECORDS & DOCKETING POSITION PURPOSE AND EXAMPLES OF WORK: To perform advanced clerical work in a specific area of case processing, involving the filing, processing, and disposition of cases. CHARACTERISTIC DUTIES: (The following duties are representative of this position, not comprehensive.) Performs case processing in receiving and initiating case files. Performs technical duties such as reviewing judgments, preparing summonses, subpoenas, letters, and forms. Reviews legal documents for necessary information required for filing. Determines processing required and takes necessary action in accordance with court rules requiring detailed knowledge of applicable terminology, rules, and procedures. Provides information and customer assistance in person, via telephone, email or other mediums (without giving legal advice) (i.e., pro se litigants, attorneys, reporters, law enforcement, other judicial agencies, co-workers, supervisors, and judges). Prepares a variety of documents related to court operations including court orders, court calendars, notices of hearings, court appearances, or reports. Coordinates the flow of documents necessary for court assignments. Properly queues electronically filed proceedings for processing. Serves the court by preparing documents before and after hearings, preparing service documents for serving respondents, printing and distributing the docket for court, making docket entries to reflect case progress, and performing other courtroom-related duties. Performs related work involving summonses and appearances. Contacts attorneys and other court personnel to resolve technical discrepancies with court filings. Assist with on-the-job training for new staff. Enters orders, court dates, pleadings, and other court matters. Interacts with the public in a timely and courteous manner. Creates and processes copies of official legal documents. SUPERVISION OF: None. SUPERVISION BY: Supervisor of area to which assigned provides direct supervision; refers unusual problems and conflicts; work is reviewed by direct observation, feedback and results of assignments. SERVICE RESPONSIBILITY: INTERNAL: All levels of Court employees. EXTERNAL: The general public. Responds to requests for routine services. Responsible to ensure quality and timely delivery. PRIMARY EQUIPMENT, TOOLS & MATERIALS USED: Computer, keyboard, telephone, copier/printer/scanner/fax, audiotape machine; keys, various reports and forms, computer generated or handwritten documents. MINIMUM EDUCATION AND EXPERIENCE: (Education above the minimum stated may be substituted on a year for year basis for the required general experience; experience above the minimum stated may be substituted on a year for year basis for the required education.) EDUCATION: High School diploma or equivalent. EXPERIENCE: One year of varied administrative experience performing a wide range of technical office duties. SPECIAL REQUIREMENTS: Must submit to and pass criminal background check as prescribed by Courts. Employees in this position are subject to random and reasonable suspicion testing for illegal drug use. KNOWLEDGE, SKILLS & ABILITIES: Typing speed of at least 35 words per minute. Knowledge of the operation of personal computers word processing, spreadsheets, and related software. Knowledge of business English, spelling, and punctuation. Knowledge of office procedures and record-keeping. Ability to make sound decisions in accordance with laws, regulations, departmental policies, and procedures. Ability to understand complex procedures and determine and prepare material from such procedures. Ability to compile and maintain records. Ability to communicate effectively, both orally and in writing, and to prepare clear, complete, and logical reports. Ability to understand and follow oral and written instructions. Ability to maintain confidentiality. Ability to deal with interruptions while completing work within deadlines. Ability to organize a variety of demands on time and prioritize work accordingly in a timely manner. Ability to be accurate and detail-minded. Ability to work independently in a fast-paced, deadline-oriented environment. Ability to work and relate in a positive fashion toward individuals from diverse backgrounds and maintain effective working relationships. Skill in the operation of scanners and other standard office equipment. Good alpha-numeric data entry skills.
