Job Objective: The Purchasing Assistant provides technical support in the purchasing process with the specific responsibility for processing documents and materials and responding to related inquiries. Individuals will also be responsible for maintaining vendor information and expired medication inventory.
Responsibilities and Essential Duties:
- Informs other staff and vendors regarding procedural requirements (e.g., ordering and purchasing procedures, available funds, etc.) for the purposes of facilitating the purchasing process with established policies.
- Maintains purchasing documents, files, and records to ensure the availability of documentation and compliance with established policies and regulatory practices.
- Manages WASP Inventory Control System. Performs barcode creation and proper labeling for all assets, equipment, and furnishings. In addition, conducts follow-up for accurate inventory management and processes asset and/or equipment transfer.
- Participates in meetings and training to convey and/or gather information required to perform job functions.
- Performs general clerical functions (e.g., answering inquiries, managing purchase orders) to support departmental activities.
- Processes financial data and documents (e.g., purchase orders, incoming purchase requisitions, mail, etc.) to update and distribute information and/or acquire resources to support purchasing operations in compliance with established guidelines.
- Responds to staff and administration inquiries regarding purchasing procedures to provide information, direction, and/or referral for addressing the inquiry.
- Assist with on-site inventory management in collaboration with other members of purchasing department and site management.
- Complete and finalize paperwork in submitting credit requests for Drug Enforcement Agency (DEA) for expired medications.
- Assists with purchasing and management of the inventory of new medical sites. Works in collaboration with members of staff in organizing, prioritizing, and acquisition of new inventory.
- Works closely with managers scheduling production to maintain a "just-in-time" level of inventory.

- Take the initiative to do or redo inadequate or incomplete work, even if it is not yours.
- Ensure compliance with regulatory standards.

Education/Training/Experience:
