This full-time, twelve-month per year position provides highly skilled clerical duties as a confidential administrative secretary for the District's Transportation program. This position is required to exercise the highest level of discretion and judgment in providing confidential clerical tasks and technical support services. This entails a high level of outside and inside contacts, which require a mature ability to answer questions related to the transportation program. Qualifications include: Two years professional office manager experience or an equivalent combination of education, training, and experience as determined by the district. Prior experience working with students with disabilities, preferable in a school setting, is desired but not required. Entry level salary is $18.66 per hour and includes a comprehensive benefit package.

Position Description
Position Title: Administrative Secretary – Transportation Program
Department: Support Services
Reports To: Transportation Manager
Prepared Date: Spring 2021
SUMMARY: Provides administrative support to the Transportation Manager and serves as facilitator for the program by communicating information, problem solving, material acquisition, petty cash handling, and record keeping. Responsible for assisting with the preparation and scheduling of District transportation needs and the day-to-day clerical operation of the transportation office. Responsible for representing the program and district in a positive way to students, staff, parents, and the school community.
ESSENTIAL DUTIES AND RESPONSIBILITIES: Other duties may be assigned.
Assist in the development and maintenance of bus routes using a computerized routing program.
Serve as program receptionist by providing program information (i.e.: bus routes and scheduled times, charges for under three mile, tuition amounts for non-district students, etc.) to visitors and/or customers and directing them to appropriate staff.
Handle telephone procedures, routes telephone traffic, and takes and delivers messages.
Compose correspondence on various subjects for Transportation Manager requiring knowledge of District
policies and procedures.
Perform all secretarial tasks assigned including but not limited to: typing, maintaining files and records, transcription and operation of common office equipment.
Prepare and submit proper documentation to appropriate state and/or federal agencies for reimbursement.
Perform limited bookkeeping duties, monitors accounts and communicates with customers regarding accounts in
arrears.
Keep current customer records and assist in the preparation of statistical and/or other transportation reports as directed by supervisor.
Assist in the preparation of the transportation budget.
Ensure contact with school personnel, parents, students, bus contractors, government entities and the general public is conducted in a courteous diplomatic manner.
Schedule all field trips and activity trips handled by District buses.
Coordinate with the activities office for use of District owned buses for activity purposes.
Coordinate with bus contractor on field trips handled by contractor on daily basis.
Prepare weekly field trip report for all drivers.
Prepare monthly field trip report for all schools.
Prepare the monthly payroll for the Transportation Program.
Schedule substitute bus paraprofessionals and substitute bus drivers as directed by Transportation Manager.
Monitor and check expenditures (invoices) and accounts payable budget. Reports any discrepancies to
Transportation Manager. Works with vendors on orders for Transportation Program.
Operates two-way radio to communicate with drivers and bus contractor.
Required to make decisions about student ridership regarding students that have not prearranged transportation with the District when contacted by the driver.
Maintain confidential files and material with regard to students that are provided transportation by the District.
Assist with the administration of Drug and Alcohol program for District bus drivers.
Be familiar with all forms and their use.
Orient new or substitute staff members to office procedures.
Perform other duties as assigned.

EDUCATION and/or EXPERIENCE:
High school diploma or general education degree (GED); one-year secretarial experience and/or training; or an equivalent combination of education, experience and training as determined by the District.
LANGUAGE SKILLS:
Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of people.
MATHEMATICAL SKILLS:
Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.
REASONING ABILITY:
Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.
OTHER SKILLS AND ABILITIES: Demonstrated experience using personal computers in MicroSoft Windows and Office environment (i.e.: Word, Access, Excel) and receptionist skills required. Experience in public and/or private transportation related environment or industry. Experience with special education programs. Familiarity with School Administration Student Information (SASI) software and Edulog bus routing software. Ability to develop effective working relationships with students, staff and the school community. Ability to perform duties with awareness of all district requirements and Board of Trustee policies.
