MARKETING PROJECT MANAGER
As a Marketing Project Manager, you will work closely with cross-functional teams including creative and content, marketing automation, media and/or interactive to ensure that all project initiatives are aligned and on-track. You will develop and maintain project plans, status reports, meeting summaries, and other project-related documentation. This role also involves vendor and client interactions that are key to maintaining highly responsive service levels.
The Marketing Project Manager will be involved in planning, overseeing, and monitoring marketing projects according to deadlines and within budgets. Their responsibilities include developing and implementing project plans for clients and will have participated in the full lifecycle of multidisciplinary marketing initiatives. They will manage the defined project objectives and oversee quality and client satisfaction throughout the process.
Your Primary function: Marketing Project Manager
How you support the Project Management function:
- Cultivate client relationships and be seen as the day-to-day key client service contact
- Help identify opportunities to grow accounts and support the proposal process
- Lead and schedule ongoing internal and external project reviews
- Curate and guide creative and cross-department project plans and project briefs
- Manage and track day-to-day details of multiple, creative and cross-department project plans
- Curate and manage estimates, budgets, timelines, proposals, and billing
Specific duties and responsibilities to support your roles:
- Grow existing relationships through excellent customer service and clear communication
- Effectively communicate high-level project expectations to teams and clients in a timely, clear, and respectful fashion
- Own client satisfaction by being proactive in gathering internal and external stakeholder feedback, helping the team exceed expectations and keeping projects on track
- Gain and maintain a high-level knowledge of next steps, dependencies, and potential bottlenecks within projects
- Listen for and communicate growth opportunities for accounts; collaborate with Account Leaders to add value and grow accounts
- Work with teams to help identify and quickly communicate changes in project scope
- Lead external and internal creative and cross-department status and planning meetings (examples: timeline, budget, milestone, planning, estimating, and billing meetings)
- Schedule external and internal creative and cross-department status and planning meetings
- Attend, document, and participate in key client meetings
- Follow-up with clients on outstanding questions or assets and after status and planning meeting
- Support the development of high-level, business development, and strategic documents; Initiate and manage the development of project briefs; own and develop creative and cross-department project plans
- Produce meeting notes/recaps after key client, status and planning meetings, identifying next steps
- Identify and document actionable tasks required to execute, track, and bill for non-specialized and cross-department campaigns and projects
- Ensure creative project documents and meeting recaps are complete, current, and stored properly
- Be proactive in communicating project dependencies, bottle necks, and critical paths between teams
- Review high-level, business development, strategic documents, and project briefs
- Be deeply ingrained with internal and external project management platforms (Teamwork Projects, Jira, SmartSheet, etc.)
- Assist the team by setting reasonable but kind expectations with clients; be proactive in requesting assets, edits, and data, removing roadblocks for the team
- Ensure work and project results are reviewed before delivering to the client (client deliverable quality check)
- Own and oversee the Project Health metric for creative projects; oversee the aggregated Project Health metric for cross-department projects
- Review creative project-related time entry, looking for errors and comparing budgets.
- Own and manage monthly project billing
- Work with teams to estimate the resources and hours needed to achieve project goals. Curate and
- deliver estimates to clients
- Open new jobs and generate project estimates by collaborating with Specialized Project Managers
- and teams
- Maintain a utilization rate of least 30 billable hours per week
Professional skills and qualifications needed for consideration:
- Deep familiarity and experience with project management software (we currently use Teamwork Projects)
- Excellent problem-solving skills and the ability to prioritize multiple projects and tasks
- Proven ability to support clients through effective verbal and written communication
- Excellent attention to detail, especially when proofing data-heavy deliverables
- Ability to work both independently with little supervision and also in a collaborative team environment
- Well organized and detail oriented
- Very persistent and reliable on follow-up with multiple clients/projects
- Flexible during times of change; able to conform to shifting priorities, demands and timelines promptly and efficiently
- Persuasive, encouraging and motivating
- Willing to learn, understand and apply new technologies and competencies
- Experience supporting clients with successful Marcom solutions
