Our Squirrel Hill based Pittsburgh law firm is seeking an experienced full-time legal assistant/paralegal and client support professional to assist with our Estate Administration and Estate Planning practice.
Our ideal candidate will have strong organizational, communication and analytical skills, excellent attention to detail, a client service orientation, and a proactive self-starter mentality.

You will support our attorneys and other client service professionals and work closely with our clients and other professional advisors to assist in all phases of trust and estate administration and of implementing an estate plan. Being a notary (or the willingness to become a notary) is a plus. Detailed responsibilities include the following:
Specific Skills
- Experience working directly with clients, whether in-person, telephone or written correspondence and comfort with greeting clients for in-office meetings
- Comfort with interacting and communicating with financial institutions and advisors
- Comfort with answering phone calls and responding to client inquiries or coordinating follow-up as appropriate
- Manage attorney calendar and scheduling for client meetings and deadlines
- Maintain prospect and client databases and assist with onboarding clients and organizing related physical and electronic files
- Create and manage tasks and processes associated with particular legal matters and track related deadlines
- Preparation of legal documents for formal signing, including printing, copying and scanning of documents for processing
- Assist with drafting basic estate planning documents, and special projects and duties, as assigned
- Assist with preparation of beneficiary designation forms and asset transfer forms
- Organize estate and trust files and documents; create and maintain spreadsheets and databases related to trust and estate administration
- Assist in the estate and trust administration practice including review and preparation of documents, petitions, accountings, related court filings and correspondence, appointments or resignations of fiduciaries, and disclaimers
- Assist with probate court filings and recordings, including research and familiarity with local rules and probate court
- Collect and maintain financial records for use in preparing tax returns and fiduciary accountings; assisting attorney with preparation of estate tax and inheritance tax returns (valuation of decedent’s assets at the date of death and determination of liabilities of the estate)
