General Position Statement :

This position assists with and coordinates daily operational tasks for the Facilities team and manages the Administration and the Crescent Building.

• Coordinates maintenance issues with the building management company for the Administration Building
• Maintains maintenance vendors for Crescent building and notifies them when there are issues.
• Monitors Administration Building and Crescent Building email inbox and track building issues. Respond to issues according to need.

Coordinate with facilities and vendors for solutions.

• Quality Control for Administration building cleaning services and report any issues to building management.
• Maintain cleaning contract for Crescent. Complete inspections with cleaning group in order to maintain quality.
• Knowledge of all branch preventative maintenance contracts and manage the scope of work to be completed.
• Coordinates processing new contracts and help maintain existing contracts to remain current in the Vendor Management system.
• Using the facilities maintenance management software, manage the vendor contract list for all locations. Track work orders and notify team of potential issues.

Manage outstanding requests and assist with response.

• Trains new users on the facilities maintenance management software.
• Fields Facilities requests from the branches
• Processes Administration Building and facilities invoices for payment. Setup new vendors and assist with prior approvals.
• Manages HIPPO system and conducts training for company.
• Keeps Privilege licenses up to date for all locations.
• Manages Facilities Administration Branch Opening / Closing Task List
• Assists with employee relocation projects.
• Works with Director to finalize budget reconciliation.
• Responsible for maintaining the Administration building Armadas. This includes maintenance, insurance, tags, and titles.
• Reserve meeting rooms, hotel and rental vehicles when needed.
• Participates in the bank’s High-Performance Rewards Connections program.
• Works on special projects and performs other duties as assigned.
• Maintains a thorough knowledge of Bank products, services, policies, procedures, and appropriate regulatory issues as related to daily job functions including but not limited to : Bank Secrecy Act;

Privacy Act; Fair Lending Act; Regulation E, etc. Completes required compliance training and adhere to the Bank’s standard of conduct.

Position Requirements :

• Four or more years of similar experience required
• Bachelor’s degree preferred
• General computer and typing experience Microsoft Office Suite, to include Excel, Word, and Outlook
• Excellent verbal and written communication skills
• Detail oriented with strong organizational skills
• Self-Starter
• Strong ability to multi-task
