Job Description
Responsibilities:
Provide administrative support to the team, including but not limited to managing service calendars, assisting with receiving and processing orders, shipping, and invoicing, preparing reports, billing.
Utilize administrative expertise to support inside sales efforts, engaging with potential and existing clients.
Act as a key liaison between the sales and service team to our suppliers, ensuring streamlined communication and efficiency.
Maintain and update CRM systems, ensuring accuracy and completeness of customer records, sales data, and order information.
Handle inventory management, including receiving and organizing stock, taking photographs, and providing detailed and necessary information for customer requests to assist with customs importation.
Shipping and receiving
Exercise bilingual proficiency in English and Spanish to assist in communications with customers and partners in Mexico.
Utilize Microsoft Office Suite, including Outlook, Excel, Teams and PowerPoint
Provide exceptional customer service, addressing inquiries, resolving issues and maintaining strong client relationships.
Qualifications:
- Proven experience in administrative and clerical roles
- Background in Accounting Programs such as QuickBooks, Peachtree etc.
- Proficiency in Microsoft Office Suite, with a firm grasp of Outlook , Excel, Teams, PowerPoint, and CRM systems
- 100% Bilingual in both Spanish and English ( can speak and write fluently )
- Comfortable with occasionally lifting boxes up to 50lbs
- Background in inside sales and/or customer service with a focus on cultivating client relationships and administrative work
- Ability to thrive in a fast-paced environment and effectively manage competing priorities
- Excellent communication, interpersonal skills, and time management
- Detail-oriented, organized, and able to work independently and with team members
