  • The Director of Operations is responsible to provides high level administrative support to executives in the workplace, such as taking calls, scheduling service appointments, managing executive requests, and other office duties. This position requires someone who has excellent verbal communication skills, good judgement, and strong time management skills in order to meet deadlines.

    Responsibilities

    • Undertaking the tasks of receiving calls, take messages and understanding the process of intaking new clients.
    • Handling executives' requests and queries appropriately.
    • Managing clinicians scheduling and all client authorizations
    • Managing mail/fax communications. Organizational effectiveness, Communication, and Safety.
    • Managing traditional paper and/or electronic filing systems.
    • Follow up with insurance companies and authorizations,
    • Maintain personnel records – both physical and electronic.
    • Draft performance improvement plans/corrective action forms for review.
    • Recruitment activities and onboarding staff.
    • Maintain compliances and company records.
    • Ensure employee files are compliant, maintain/review/update completed job descriptions, maintain affirmative action program; file annual EEO-1 report; maintain other records, reports & logs to comply w/EEO/AAP & OSHA regulations. Stay up-to-date and comply with changes in HR legislation.
    • Performs other duties as assigned by supervisor.
    • Manage staff paperwork regarding hiring and HR.
    • Knowledge of federal, state, and local employment laws.
    • Ensure that all employees and managers receive appropriate training and routinely monitor training schedules for completion.
    • Complete all assistance task by the Executive Director, scheduling meetings and maintaining all communication and scheduling for the Executive Director.
    • On Call to Executive Directors 7 Days a week unless on vacation.
    • Overseeing clerical tasks, such as sorting documents, maintaining all company paperwork, sending mail, answering phone and email inquiries for all company related issues.
    • Managing and maintaining all company bills for all accounts.
    • Responsible for intake new clients: This includes but not limited to assign them to abatask desk, tasking their folder on the drive, add all information to excel spreadsheet, assigning them to Clinical Director, Responsible making sure Lead RBT makes all clinical folder for each location.
    • Responsible for all Client's authorizations
    • Overseeing Clinical Director and all locations comply and operates functionally.
    • Hiring, on boarding, and training all new and current staff
    • Keeping staff in compliance and maintaining staff records
    • Keeping clients, staff, and offices in compliance
    • Answer all staff complaints about ADP and the clinical director
    • Marketing to make sure clinic are always staff and full with clients.
    • Work out of all locations at least twice a month.

    Skills

    • Proven experience as an Office manager and administrative assistant to owner.
    • Knowledge of office administrator responsibilities, systems and procedures.
    • Knowledge of Local and Federal employment law.
    • Proficiency in MS Office (MS Excel and MS Outlook, in particular).
    • Hands on experience with office machines (e.g. fax machines and printers).
    • Familiarity with email scheduling tools, like Email Scheduler and Boomerang
    • Excellent time management skills and ability to multi-task and prioritize work.
    • Attention to detail and problem-solving skills.
    • Excellent and Knowledge about HR policies and procedures
    • Excellent written and verbal communication skills.
    • Strong organizational and planning skills in a fast-paced environment.
    • A creative mind with an ability to suggest improvements.
    • BA; additional qualification as an Administrative assistant or Secretary will be a plus.

    Job Type: Full-time

    Pay: $60,000.00 - $65,000.00 per year
