Facilities Manager manages the maintenance, construction, repair, and refurbishment operations of one or more facilities or properties. Implements policies and procedures that ensure the optimal functioning of buildings, grounds, and associated equipment. Being a Facilities Manager monitors daily building operations of all systems, including mechanical, electrical, plumbing, HVAC, safety, and waste management to ensure reliability. Tracks work orders for quality, adherence to service standards, and budgeted guidelines. Additionally, Facilities Manager trains supervisors and employees in best practices for maintenance work, service and safety standards, and local laws and regulations. Oversees vendors or contractors engaged for construction projects. Typically requires a bachelor's degree. Typically reports to a director. The Facilities Manager manages subordinate staff in the day-to-day performance of their jobs. True first level manager. Ensures that project/department milestones/goals are met and adhering to approved budgets. Has full authority for personnel actions. To be a Facilities Manager typically requires 5 years experience in the related area as an individual contributor. 1 - 3 years supervisory experience may be required.     SUMMARY:

    The Facility Manager (FM) is responsible for all aspects of contract performance including: contract compliance, human resources, mechanical & electrical operations, maintenance and repairs, customer relations, reimbursable work estimating, capital improvement planning, financial performance, subcontract management, quality control and safety program compliance for a relatively small facility. This position reports to the Regional Manager.

    DUTIES:

    • Manages daily operation, maintenance, repair and alterations activities of skilled, semi-skilled, and administrative workforce.
    • Enhances company relationship with the customer; keeps the customer informed daily of work progress, operations and maintenance issues that impact building occupants. Responsible to mitigate conduct that could jeopardize the positive working relationship between the company and customer. Provides reports and deliverables in accordance with all contract reporting requirements.
    • Promotes a safe working environment. Implements safety program and records attendance and activities. Ensures 100% compliance with Safety Program.
    • Provides corporate office with written notification of employee injuries within (24) hours of occurrence. Investigates all employee accidents and records findings and corrective action. Ensures all office and mechanical room areas are clean and free of safety hazards. Monitors safe work practices of all subcontractors; stops work immediately to address unsafe work practices.
    • Plans, schedules and coordinates quality assurance duties to ensure quality control program requirements performed in accordance with the contract. Conducts quality compliant investigations, makes on-site visits, troubleshoots and examines causes of problems; prepares report of findings with recommended solutions and follow-up action.
    • Inspects the work performed by contractors in performing a variety of trade and craft functions involved with repair, maintenance and operations. Inspects and documents work in progress and upon completion for compliance with contract specifications.
    • Visually checks, measures and records various systems and components to ensure both employees and contractors meet specifications of the contract, good workmanship standards and all applicable safety and code requirements.
    • Purchases equipment, materials, subcontract services and supplies in a fiscally responsible manner. Promotes competitive pricing between suppliers. Ensures all customer purchases are secured via purchase orders and that all documents relating to said purchase are available for review.
    • Justifies and tracks all contract expenses. Manages contract cost to maintain project profitability goals. Works together with accounting personnel to ensure vendors are paid in accordance with the terms and conditions of their purchase agreement. Works with accountant and regional manager to close out extra work project in a timely manner. Responsible for delegating expenses to the proper cost codes.
    • Analyzes reimbursable work authorizations and agency-initiated purchase orders, and as necessary, prepares, pertinent specifications, drawings, sketches, and provides written estimates of cost for materials and man-hours required by trade, consistent with acceptable trade practice. Performs extra work only when written authorization to proceed is secured via signed credit card authorization or written order for supplies and service.
    • If applicable, recruits vacant positions, administers policy and procedures as stated in employee guide. Performs annual employee reviews; documents unsatisfactory performance.



    REQUIREMENTS:

    • Bachelor’s degree in Business or Engineering preferred
    • Must possess required unexpired licenses for that location.
    • Must possess excellent communication and leadership skills
    • Ability to read and understand financial statements, budgets, and reports
    • Ability to analyze problems and methodical approaches to maximize the efficiency of the projects.
    • Ability to effectively manage and motivate a team and logically prioritize various requests and responsibilities.
    • Must be a good multi-tasker; able to handle multiple projects, people, and to meet deadlines with revolving priorities.
    • Must have good computer skills including Microsoft Office. MAXIMO or WebTMA experience preferred.
    • Knowledge and skill in HVAC systems.
    • Knowledge in operating electrical equipment and machinery.
    • BOMI, IFM, and/or LEED experience a plus.
    • Must be able to work effectively at all levels of an organization.
    • Must be professional and credible in all business situations.
    • Must be able to obtain a US government clearance.
