Job Description
Kenner, LA: Flexicrew Technical Services (FTS) seeking an organized and detail-oriented Administrative Coordinator to manage various administrative tasks related to scheduling, employee records, payroll, and vendor coordination. The ideal candidate will have experience with scheduling software, proficiency in Microsoft Excel, and excellent communication skills.
Key Responsibilities:
Schedules and Timesheets Management:
Review supervisor schedules and timesheets weekly in Dayforce.
Ensure supervisors have authorized and approved timesheets by Monday 10 am.
Assist supervisors with questions and time adjustments as needed.
Agency Coordination:
Collaborate with Temp agencies to schedule interviews and provide feedback on scheduled interviews.
Maintain a spreadsheet tracking interviews.
Send daily emails to Supervisors, HR, and Plant Manager regarding scheduled interviews.
Distribute weekly job opening lists to agencies.
Factory Employee Spreadsheet Maintenance:
Keep track of new hires, transfers, merit increases, and terminations.
Utilize the spreadsheet as a backup for merit increases and reviews.
Reviews and Promotions:
Run reports for Merit increases through Dayforce and enter them on Mondays.
Process promotions through Dayforce as requested.
Plant Hours & Financial Management:
Update projected and actual hours on designated days.
Complete Factory Payroll and Goals worksheets weekly.
Uniform Coordination:
Process daily uniform orders from supervisors.
Maintain a worksheet tracking orders and coordinate with accounting for invoice payments.
Order Temp t-shirts from Best Uniforms and supply new temp employees with required attire.
Vending Operations:
Report any issues with vending machines to the vending service provider.
Manage reimbursement sheets from the factory for lost money and prepare reimbursement worksheets.
Issue money loss reimbursements to employees as needed.
Birthday & Anniversary Celebrations:
Create birthday cards, distribute candy, and anniversary pins in supervisor folders.
Send out invitations for Anniversary celebrations.
Qualifications:
Strong organizational skills and attention to detail.
Moderate experience in Microsoft Excel.
Excellent written and verbal communication skills.
Physical Requirements:
Ability to sit for extended periods while working on a computer.
Capability to operate standard office equipment such as computers, printers, and telephones.
Occasionally required to stand, walk, and move around the office or factory floor.
Must be able to lift up to 20 pounds occasionally for tasks such as moving supplies or equipment.
Visual acuity and manual dexterity necessary for typing, reading, and operating computer systems.
Ability to communicate effectively with employees, vendors, and management in person, via phone, and through written correspondence.
