  • Job Summary:

    The Department of African American Studies in the College of Letters and Science seeks a Student Affairs Program Coordinator to support a variety of functions in the student services area in the department. This position will be responsible for general curriculum support and enrollment control, administrative support for the department's undergraduate, graduate, and certificate programs, coordination of student processes and other administrative tasks that support recruitment, engagement, and retention of students. This position is public facing, requiring to communicate with students, faculty, and the public responding both verbally and in writing to queries regarding the department as it pertains to the academic venue.

    Responsibilities:

    Coordinates one or more programs within the unit's scope of responsibility and coordinates all aspects of a project or program to promote student learning and development. Assists with coordinating any activities and providing facilitation and developing curriculum design for ongoing and new educational initiatives.
    • 60% Assists with scheduling, logistics, securing resources, and facilitating one or multiple student affairs programs, activities, and/or services
    • 10% Assists with the design of student-focused programming and associated resources and materials to promote new and ongoing educational initiatives
    • 25% Provides guidance on resources for individual students or internal stakeholder groups
    • 5% May assist with supervising and training student employees

    Tasks:

    • Construct and manage department timetable, course enrollments, room reservations in Student Information System (SIS); coordinate cross-listed course offerings with other departments.
    • Coordinate graduate student process, such as graduate school applications, filling of declaration or major, grade change forms, degree warrants, etc.
    • Coordinate department fellowship process, including fellowship applications, preparing materials, forms, and letters.
    • Maintain accurate records of student progress reports.
    • Assist with data reports related to recruitment, retention, and professional development.
    • Coordinate planning and scheduling of prospective students visits and serve as resource contact for prospective students.
    • Coordinate onboarding of incoming graduate students.
    • Provide general curriculum support to faculty, staff and students; work with faculty and Chair to prepare and submit new, changed or deleted course proposals.
    • Collaborate with graduate and undergraduate advisor on academic issues, including support of recruitment efforts and growth of the department major and certificate program.

    Required Qualifications:
    - Demonstrated experience efficiently managing multiple tasks with multiple deadlines (organizing, prioritizing, identifying and solving problems; consistently meeting deadlines; attention to detail; accuracy, etc.).
    - Experience with word processing, email, spreadsheets, and database software to organize information, create mail merges, manage data, and perform basic analyses (Microsoft Office Suite, Google, etc.).
    - Excellent communications and interpersonal skills.
    - Demonstrated experience supporting a welcoming environment for students of all backgrounds (e.g., engagement, safety, connectedness, support, etc.).
    - Experience collaborating with a variety of stakeholders that include, students, staff, faculty, division and cross campus partners.
    - Experience taking initiative and independently managing multiple activities and day-to-day operations, including setting expectations and goals.

    Preferred Qualifications:
    - Experience with university specific software, such as SIS, Lumen, HelioCampus, Applicant Review, etc.
    - Professional experience working with students of multicultural backgrounds in the area of academic affairs.
    - Knowledge of rules, regulations, and procedures related to undergraduate and graduate academic programs.

    Work Schedule:

    Typical schedule for 70% time is M-F 9:00am - 2:45pm, but hours are somewhat flexible.

    Full or Part Time: 70% - 100%

    This position may require some work to be performed in-person, onsite, at a designated campus work location. Some work may be performed remotely, at an offsite, non-campus work location.

    Salary:

    Minimum $20.00 HOURLY
    Depending on Qualifications
    The typical starting salary for this position is $41,600 - $48,200 depending on qualifications and experience. The full salary range for this position is $41,600 to $68,970. Employees in this position can expect to receive benefits such as generous vacation, holidays and paid time off; competitive insurances and saving accounts; and retirement benefits.

    Total annual salary will be prorated accordingly if starting at less than 100% time. This position has the possibility to increase up to 100% based on need and/or funding.
