    Ogden Museum of Southern Art in New Orleans, Louisiana seeks an experienced, highly organized professional to serve as Director of Finance and Administration as the museum begins its third decade of growth.


    Reporting to the Executive Director and to the Deputy Director of Administration, this role is responsible for high-level Administrative, Accounting and Human Resources operations of the museum, supported by museum staff and contracted agencies.


    Critically, this position helps guide institutional activity relating to the 5-year strategic plan cycle by systemizing business systems and methods for evaluating organizational effectiveness. 


    The Director of Finance and Administration is a full-time, on-site position with competitive salary and benefits.


    Job Summary


    The post holder will provide oversight and be responsible for general financial operations, for ensuring organizational effectiveness by providing leadership for the organization's financial activities related to overall administrative function, multi-year institutional planning, production of reports and budgets and maintenance of accounts and records.


    The Director of Finance and Administration will oversee the outsourced agency responsible for data entry, payroll management, general bookkeeping and cash reporting, and will work with the Executive Director and/or Deputy Director of Administration to develop cost/benefit analyses, run financial scenarios, streamline processes, create financial analyses and reports as needed and provide strategies for financial growth.


    The Director of Finance and Administration oversees a contracted accounting agency who facilitates the responsibilities of the department at large.


    The position also contributes to the development and implementation of financial strategies, policy and practices.


    The Director of Finance and Administration is responsible for general administrative Human Resources activities and is the primary liaison with the contracted Human Resources agency.


    Essential Job Functions


    Planning, Management and Evaluation

    • Assist executive staff with management of five-year Strategic Plan and Annual Plan.
    • Collect data for effective decision-making and refinement of plan objectives.
    • Track goals, activities, timeline, management, evaluation and status reports.
    • Collect and archive documentation of planning, assessment and reporting.
    • Align activities with annual budget calendar and other institutional opportunities.
    • Assist with reporting to Museum staff and various committees of the Museum and Board.


    Financial Planning

    • Oversee preparation of quarterly and annual financial statements and disclosures in accordance with generally accepted accounting principles and nonprofit standards.
    • Oversee maintenance of the general ledger on basis of fund accounting.
    • Develop financial analysis, planning and forecasting models as necessary to support the multiple initiatives of the strategic plan, including cash and debt service implications of long-term initiatives and long-range capital planning.
    • Analyze, predict and recommend operating and capital funding sources to support planning, including cash & investment reserves, gifts, future cash flows and debt.
    • Perform financial ratio analysis to support operating and capital budget planning to ensure optimal liquidity and leverage levels.
    • Develop methods and procedures to prepare, maintain and monitor the annual operating and capital budgets and forecasts.
    • Compile monthly finance reports and prepare quarterly budget to actual reports.
    • Monitor budget and analyze variances, recommending long-range planning.
    • Maintain records and manage historical multi-year budgets.
    • Prepare financial reports, graphs, charts, trend analysis and other presentation materials.
    • Attend, support and present at the Board of Trustees Finance Committee meetings.
    • Oversee preparation of annual tax returns and audits in collaboration with the museum’s public accounting firm, in accordance with IRS and state requirements.
    • Review the appropriate and timely spending of donor restricted gifts, endowments and grants; determine related net asset release for audited financial statements.
    • Complete audit and accreditation reporting requirements with financial information.


    Management Responsibilities

    • Maintain a documented system of accounting policies and procedures.
    • Manage outsourced functions; ex: Insurance Broker, Payroll Processing Company (ADP), Accounting Company, Audit and Tax Firm, Human Resources, etc.
    • Oversee accounting staff and/or contracted accounting agency.
    • Annually review funds policy, procedure and performance and make recommendations.


    Transactions

    • Monitor and review activities of contracted accountant agency to ensure that accounts payable are paid in a timely manner, receivables are collected promptly, periodic bank reconciliations are completed at the correct frequency.
    • Maintain the chart of accounts and an orderly accounting filing system.


    Reporting

    • Provide financial analyses for capital investments, pricing decisions and contract negotiations.
    • Coordinate the provision of information to external auditors for the annual audit.
    • Monitor debt levels and compliance with debt covenants.
    • Comply with local, state and federal government reporting requirements and tax filings.
    • Maintain a file and record of credit card receipts, signed purchase requests and account codes on a weekly basis.
    • Managing day-to-day processing of accounts receivable and payable using QuickBooks, producing annual audit and other reports as requested.
    • Implementation and management of the annual budgeting and planning process.
    • Perform complex accounting/financial analyses, such as cost/benefit analyses based on discussions with Executive Director.
    • Liaise with outside vendors, including benefits providers, auditors and payroll consultants.
    • Provide strategic guidance on specific items and larger objectives to ensure financial stability and growth of the institution.
    • Manage Administrative and finance file maintenance and postal mail.
    • Manage petty cash and weekly bank deposits.


    Human Resources

    • Liaise with benefits providers and health insurance providers.
    • Timely and accurately distribute benefits information to eligible employees, monitor pending enrollments and verify completion.
    • Ensure timely response to claims and file all insurance documents, policies and correspondence.
    • Provide information for insurance audits or for compliance.
    • Assist with annual review of company insurance; compare quotes from brokers and agents.
    • Ensure that the annual employee insurance renewal process is carried out and that all information is gathered from employees.
    • Ensure compliance in recruitment, anti-discrimination, salary, payroll and tax, employee benefits, documentation and privacy and safety requirements.
    • Assist with job postings and ensure that the job posting policy is followed.
    • Help create, update and implement policies and procedures to improve department efficiencies and internal controls.
    • Onboard new employees and assist in training on financial and/or HR systems.
    • Support institution-wide employee evaluation process with annual calendar and monitor deadlines for completion.
    • HR File Maintenance.
    • HR Staff and Public Appreciation Coordination.
    • Annual institutional policy and Handbook Review.


    Information Technology

    • Liaise with outsourced IT agency and communicate consolidated institutional priorities.


    Qualifications, Education and Experience


    • At least ten years of accounting experience, including payroll, accounts payable and accounts receivable processes.
    • Must have a degree in accounting and CPA is preferred.
    • Nonprofit accounting and audit experience is necessary.
    • Knowledge of accounting for government grants inventory is a plus.
    • Proficient in QuickBooks, Microsoft Office products, especially Microsoft Excel.
    • Experience with Blackbaud /ALTRU and ADP preferred.
    • Highly organized and flexible in a dynamic environment.
    • Strong analytical and problem-solving skills, organizational and administrative skills.
    • Knowledge of tax and other compliance implications of non-profit status.
    • Institutional priority alignment and diligence in prioritizing workload and workflow.
    • Commitment to the organization's mission and values.


    Knowledge, Skills and Ability Requirements


    • The ideal candidate will have excellent skills and experience providing financial analysis, forecasting and modeling, as well as excellent oral and written communication skills.
    • This position will be evaluated on a 30-, 60- and 90-day probationary period.
