Job Summary: The AP / AR Clerk will be responsible for managing the accounts payable and accounts receivable functions, ensuring accurate and timely processing of transactions, and maintaining excellent relationships with vendors and customers. The ideal candidate will have experience in a manufacturing environment and proficiency with Sage Intacct. Additionally, the role includes responsibility for collections, requiring strong communication skills and a proactive approach to managing overdue accounts.

Key Responsibilities:

Accounts Payable:

• Process and verify invoices for accuracy and completeness.
• Match purchase orders and receiving documents to invoices.
• Code and enter invoices into the accounting system.
• Prepare and execute payments via checks, ACH, and wire transfers.
• Reconcile vendor statements and resolve discrepancies.
• Maintain vendor files and ensure compliance with company policies.

Accounts Receivable:

• Generate and send out invoices to customers promptly.
• Apply payments received to customer accounts accurately.
• Monitor accounts receivable aging and follow up on overdue accounts.
• Maintain accurate records of customer interactions and payment statuses.
• Prepare and process customer credit applications.

Collections:

• Conduct regular reviews of the accounts receivable aging report.
• Contact customers to follow up on overdue payments via phone and/or email.
• Negotiate payment plans and resolve billing issues.
• Escalate unresolved collection issues to management when necessary.
• Maintain detailed records of all collection activities and customer communications.

General Accounting Support:

• Assist in month-end and year-end closing processes.
• Prepare reports and analysis as needed for management.
• Collaborate with the finance team to ensure accurate financial reporting.
• Support audits and other financial reviews by providing necessary documentation.

Qualifications:

• Associate’s degree in Accounting or related field preferred.
• Minimum of 2 years of experience in AP / AR roles, preferably in a manufacturing environment.
• Proficiency with Sage Intacct or similar accounting software.
• Strong knowledge of accounting principles and practices.
• Excellent attention to detail and organizational skills.
• Strong communication and interpersonal skills.
• Ability to work independently and as part of a team.
• Proficiency in Microsoft Office Suite, especially Excel.

Preferred Qualifications:

• Experience with collections and credit management.
• Familiarity with organic food industry standards and practices.
• Knowledge of ERP systems and their integration with financial processes.
