Account Services Representative, Sr. jobs in Illinois

The Account Services Representative is the link between the retailers and Suncast, the manufacturing company that produces the products they buy. This employee ensures that orders are fulfilled in accordance with the customer’s purchase order and with Suncast’s policy. He or she works closely with customers to keep them aware of order status.

Responsibilities:

The following duties are considered essential to this position. Other responsibilities may be assigned.

• Enter orders into IVP. These orders may be received via phone, fax, EDI, and mail.
• Provide customers with information about purchase orders they have placed in a timely manner. Information may include order status and shipping confirmation.
• Respond to customer calls concerning their orders. If the employee is not able to answer the question or request immediately, he or she will find the information and return the call promptly. Address all complaints immediately.
• Maintain current customer routing guides and vendor manuals and secure new ones as they are developed. Update IVP and any other system as needed.
• Act as primary customer contact for transportation instructions and notifications of order confirmation. This will include completing truckload routing request forms, faxing, telephoning, and Internet contact.
• Ensure truck load guidelines.
• Maintain an operations’ manual for all customer accounts. This manual will include information found in each routing guide or vendor manual.
• Assist sales in filling out required vendor forms and item set up sheets.
• Verify that customer information notification requests are accurate through coordination with MIS. This will include shipping labels, ASN’s, bills of lading, etc.
• Confirm the correctness of electronically transmitted orders (EDI). Information checked will include item numbers, prices, quantity, shipping method and dating terms.
• Review departmental reports to ensure accuracy and to take appropriate action based on report information.
• Act as back-up for the receptionist.
• Project a positive and professional image at all times. This includes dressing, acting, and speaking in a professional manner.
• Stay informed of new technology, methods, and materials for this position.
• Support and comply with all Suncast safety policies, quality standards, and housekeeping methods at all times. Suncast policies have been developed to ensure compliance with employee law.

• High school diploma required; some college preferred; some customer service experience preferred.
• Ability to read and interpret documents such as safety rules, operating instructions, and procedure manuals. Good problem-solving as well as verbal and written communication skills are essential. This employee must have a clear, professional speaking voice to ensure effective telephone communication.
• Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.
• Ability to apply common sense understanding to carry out instructions furnished in written, oral, and diagram form.
• Entry level PC skills for spreadsheets and word processors are required.
• Ability to sign on and use IVP.
• Ability to use all programs, reports, and queries required for this position.
